Role Description

VirtueStaff is seeking a detail-oriented Legal Intake Specialist to manage front-line client onboarding and administrative operations for a family and estate planning law practice. In this role, the specialist will:

• Answer inbound calls.
• Conduct initial client intakes.
• Execute conflict checks.
• Process payments.
• Liaise with firm attorneys for daily case needs.

The ideal candidate combines exceptional phone etiquette and a welcoming personality with high precision in client recordkeeping.

Qualifications

• Proven background as a receptionist or intake specialist.
• High attention to detail and strong organizational skills.
• Native-level English verbal and written communication skills.
• Warm, engaging personality with the ability to build rapport with clients navigating family law and estate planning matters.
• Experience or familiarity with legal case management platforms such as MyCase is preferred.

Requirements

• Manage inbound phone communications, serving as the primary point of contact for prospective and existing estate planning clients.
• Conduct initial client intake assessments and perform conflict checks prior to attorney consultations.
• Process client payments, generate basic transaction records, and maintain accurate billing details.
• Coordinate directly with firm attorneys to relay client updates, fulfill daily case requirements, and schedule consultations.
• Maintain accurate client intake records and update file details within case management systems.
