[Hiring] People Operations & Recruitment Specialist @Panda Drum

Role Description

You will own the following responsibilities:

• People Ops (about half your week):
  • Onboarding:
    • Accesses live before day one
    • Onboarding questionnaire sent
    • 1:1 page set up
    • First-week plan in place
    • Check-ins at day 7 and day 30
  • Offers and contracts:
    • Prepare offer letters
    • Coordinate B2B contractor agreements
    • File every signed copy in the agreements register
  • HR admin:
    • New-hire records
    • Documents and the admin every hire brings, done the same way every time
  • Documentation:
    • Build onboarding documentation and guidelines
    • Create SOPs and checklists
  • AI workflows:
    • Build AI workflows to automate repeat work
• Recruitment (about half your week):
  • Sourcing:
    • LinkedIn Recruiter for execution roles: support agents, coordinators, video editors
  • First-round screens:
    • Run with scorecards after a knockout check on the application
  • Pipeline hygiene:
    • Scheduling, candidate notes, and a reply to every candidate within 2 business days
  • Test tasks and reference checks:
    • Send test tasks to candidates
    • Track deadlines
    • Process test task payments
  • Automation:
    • Use Recruitee triggers and templates
    • Implement AI-assisted first passes
    • Create Notion workflows

Qualifications

• 1+ year of hands-on recruitment experience
• Experience sourcing on LinkedIn and running screening calls
• Organized by default, with experience in onboarding, offers, or contracts
• Fluency in ATS and AI tools
• Excellent written English
• Strong communication hygiene

Requirements

• Judgment in decision-making
• Experience with Recruitee and Notion is a bonus
• Experience hiring remote and international candidates
• Experience building automation (ATS triggers, AI workflows)
• In-house experience at a fast-growing company
