[Hiring] People Operations Specialist @WhiteTech

Role Description

We are looking for a People Operations Specialist to join our HR team and take ownership of a broad range of people operations and administrative processes across our international organization of approximately 140 employees.

Our People team currently includes two People Partners, who focus on supporting employees and managers across the organization. This role will complement their work by taking ownership of the operational side of our People function and ensuring that our processes, data, documentation, and HR infrastructure run smoothly.

This is a great opportunity for a junior or early-career HR professional who enjoys working with processes, data, systems, and details, and wants to build broad experience across People Operations.

You will work across different areas of People Operations, collaborate with colleagues across the company, and continuously look for ways to make our processes more efficient, structured, and scalable - including through the use of AI and automation.

What you’ll do

• People documentation & administration:
  • Own day-to-day employee documentation processes, including services agreements, amendments, terminations, and other employee-related documents.
  • Ensure documents are prepared, processed, stored, and updated accurately and on time.
  • Maintain consistent and well-organized people documentation across relevant systems and repositories.
  • Support employee lifecycle processes from onboarding through offboarding.
• People data & HR systems:
  • Keep employee data accurate and up to date across HRIS and other people-related systems.
  • Regularly review data quality, identify inconsistencies, and coordinate corrections.
  • Support data changes related to hires, transfers, promotions, exits, organizational changes, and other employee lifecycle events.
  • Help improve the way our people data is structured, maintained, and used across the organization.
• Benefits administration:
  • Coordinate day-to-day benefits administration across our international workforce.
  • Manage employee additions, removals, and changes in benefits programs.
  • Monitor benefits-related data and deadlines and ensure relevant information is reflected accurately in our systems.
  • Prepare regular benefits-related reports and support communication with employees and external providers when needed.
• HR reporting & analytics:
  • Prepare regular HR reports and people-related data analysis for the HR team and company stakeholders.
  • Maintain recurring reporting and make sure reports are accurate, consistent, and delivered on time.
  • Help turn people data into clear, useful insights and identify trends or data quality issues.
  • Support ad hoc analysis and reporting requests.
• People content & communications:
  • Keep company-wide HR/People content accurate and up to date, including internal policies, guidelines, and other people-related documentation.
  • Prepare and publish People-related updates and announcements in company-wide communication channels.
  • Help ensure employees can easily find clear and current information about our people processes, policies, and benefits.
• Process improvement & AI:
  • Identify opportunities to simplify, standardize, automate, and improve People Operations processes.
  • Explore and implement practical uses of AI and automation in HR operations, reporting, documentation, and employee communications.
  • Contribute to making our People function more efficient, data-driven, and scalable.
  • Take on other operational and cross-functional People projects as needed.

Qualifications

• 1+ year of experience in HR Operations, People Operations, HR Administration, or a similar role.
• Strong attention to detail and a high level of ownership.
• Experience working with HRIS or other people-related systems and maintaining employee data.
• Basic understanding of employee lifecycle processes and HR administration.
• Experience with HR reporting and working with data; good Excel/Google Sheets skills.
• Ability to manage recurring processes and deadlines while also handling ad hoc requests.
• Strong organizational skills and the ability to keep track of multiple processes at the same time.
• Comfortable working with sensitive and confidential employee information.
• Excellent communication and interpersonal skills, with the ability to work effectively in a multicultural and international environment.
• A proactive, process-oriented mindset: you don't just spot problems - you look for ways to prevent them from happening again.
• Curiosity about AI, automation, and new ways of working.
