Role Description

We need an English-fluent Marketing Assistant, based in Latin America, available to work remotely. We are looking for someone with exceptional communication and relationship-building skills, who embraces changes while maintaining strong attention to detail. An interested and proactive person, who's constantly learning and improving their skills.

Responsibilities:

• Expense filing: Prepare, submit, and reconcile expense reports for the marketing team in Emburse, making sure receipts, categories, and approvals are complete and on time.
• Newsletters: Help produce and send the firm’s newsletters: gather content from attorneys and the marketing team, draft and format the emails, proofread, build the send list, schedule distribution, and report on results.
• CRM management: Work in the firm’s legacy, law-focused CRM. Extract contact and client data files, clean and standardize them (remove duplicates, fix formatting, fill gaps), and keep records accurate for marketing campaigns and newsletter lists.
• Provide general administrative support to the marketing team, including scheduling, coordination, and internal follow-ups.

Qualifications

• Valid U.S. visa (or equivalent travel authorization) to travel to New York when the company requires it.
• 3+ years of prior experience as an assistant in marketing, administrative, or business support.
• Hands-on experience with expense reporting tools; Emburse is ideal, and Concur or similar is acceptable.
• Experience creating and sending email newsletters with a tool such as Mailchimp, Constant Contact, or HubSpot.
• Experience with CRM data work: exporting, cleaning, and importing data. Comfort with older, less intuitive systems is essential.
• Advanced Excel or Google Sheets skills (filters, VLOOKUP/XLOOKUP, deduplication, pivot tables).
• Strong written English with excellent attention to detail, since this is a law firm and accuracy matters.
• Reliable remote setup (stable internet, quiet workspace) and availability for overlap with New York business hours.

Requirements

• Experience in a law firm, professional services, or other client-relationship-driven business is a plus.
• Familiarity with legal CRM or marketing platforms (e.g., Intapp, Lexicata, or similar) is a plus.
• Experience with data privacy practices when handling client and contact data is a plus.
• Basic design skills for formatting newsletters (Canva or similar) is a plus.
• Bilingual English/Spanish is a plus.

Benefits

• The salary range offered for this position varies from (USD) $1,200 - $1,800 per month, depending on seniority and skillset.
• This is a full-time, 37-hour-per-week position, contracted through a payroll platform.
• The talent will work remotely allocated at our client.
