Role Description

The Talent Acquisition Operations (TAOps) Specialist plays a critical role in supporting the Talent Acquisition (TA) function. This position focuses on managing and optimizing the onboarding process through:

• Completion of all relevant background checks
• Candidate hiring activity
• Collation of relevant onboarding documentation

The specialist collaborates closely with:

• Candidates
• Recruiters
• HR & Payroll teams
• Hiring managers
• External vendors

Key Responsibilities include:

• Onboarding activity: Coordination and administration of background checks, pre-employment medical requirements, job offers, and hiring/contracting activity across multiple clients.
• Candidate engagement: Direct engagement with candidates to support their onboarding journey, ensuring timely communication and feedback.
• Provision of advice on onboarding documentation requirements.
• Process Improvement: Identify and implement strategies for onboarding process optimization.
• Applicant Tracking System (ATS) Management: Oversee ATS administration, ensuring accurate data entry and compliance.
• Reporting and Analytics: Develop recruitment metrics and analytics reports to assess talent acquisition strategies.
• Vendor engagement: Coordinate relationships with external vendors.
• Compliance and Policy Adherence: Ensure compliance with labor laws and company policies throughout the recruitment process.
• Training and Support: Create training materials and provide ongoing support to stakeholders.
• Project Management: Participate in projects related to process improvement and automation.
• Audit activity: Support with the collation of information for audits.

Qualifications

• Proven experience in Recruitment Operations, HR Operations, or a similar role.
• Experience in onboarding, including management of hiring/contract activity.
• Ability to adapt to a fast-paced, volume-based, dynamic environment.
• Familiarity with applicant tracking systems (ATS) and HR software.
• Organized and analytical mindset with experience in utilizing spreadsheets.
• Strong communication, interpersonal, and influencing skills.
• Strong attention to detail, organization, and problem-solving abilities.
• Understanding of employment laws and compliance best practices.
• Experience with process improvement methodologies.
