Role Description

This role is responsible for the accurate and compliant execution of regional payroll and benefits activities within the Payroll & Benefits COE for the Americas countries. It requires strong technical payroll knowledge, experience and understanding of payroll & benefits administration, with particular expertise in US payroll, payroll tax compliance and multi-state requirements.

The role reports directly to the Regional Payroll & Benefits Lead – Americas and sits within the Payroll, Benefit and Reward team within HR, and will work closely with HR Ops, HR Business Partners, Finance and payroll and benefits providers in the delivery of payroll and benefits activities.

Key Responsibilities

• Responsible for payroll changes preparation utilizing PowerBi driven changes from D365, and ad hoc manual changes for processing.
• Assist in ensuring scheduled payroll tax payments and other statutory payments are made to relevant authorities/local governments.
• Ensure compliance with relevant statutory and legal obligations applicable to payroll matters.
• Perform and/or support payroll reconciliations, including payroll-to-GL, payroll funding, payroll tax and benefits reconciliations.
• Maintain all required documentation such as SOPs, checklists and country guides.
• Keep records in connection with payroll, statutory and tax payments and respond to authorized individuals regarding payroll queries.
• Assist the Regional Lead in reviewing payroll processes to identify improvement opportunities.
• Answer queries related to payroll and benefits matters from employees, HR, third parties and providers.
• Manage day-to-day activities with benefits: US programs administration (401K, LOA, medical, dental, STD/LTD).
• Enroll new hires and terminate leavers in the benefits portal.
• Prepare benefit payroll deduction file prior to each payroll cycle.
• Assist with annual open enrollment.
• Support year-end payroll activities, including US W-2 processes and payroll tax reconciliations.
• Support implementation and data management activities, including new M&A, transfers, vendor changes and optimization projects.
• Provide cross-regional payroll coverage as required to ensure business continuity across the Americas payroll portfolio.

Qualifications

• Proven track record of US payroll processing, with strong multi-state payroll experience.
• Experience supporting Canada and Bermuda payroll is desirable.
• Strong technical knowledge of US payroll tax compliance.
• Strong knowledge of US multi-state payroll requirements.
• Understanding and practical experience of US payroll benefits.
• Experience with payroll reconciliations and resolving discrepancies.
• Experience working with external payroll and benefits providers.
• Knowledge of HR, Benefits and Payroll interfaces.
• Strong communication, interpersonal and influencing skills.
• Proactive, agile, analytical and solution-oriented.
• Ability to work independently and coordinate multiple workstreams.
• English and Spanish essential.
• Bachelor's degree in Accounting, Finance, Human Resources, Business Administration or a related field.
• A recognised payroll certification such as FPC or CPP is highly desirable.
