Role Description

Rippling is expanding its Managed Payroll offering in the US, and we’re looking for a Managed Payroll Specialist to join the team at a pivotal moment. This is an early-stage client service and operational role at the intersection of payroll execution, customer experience, and product development.

As a Managed Payroll Specialist, you will own the end-to-end payroll experience for a portfolio of US customers:

• Running payroll on their behalf
• Proactively managing the customer relationship
• Acting as a frontline expert for everything from routine pay runs to complex edge cases

You will work closely with Payroll Operations, Product, Engineering, Implementation, and Customer Support, serving as a key feedback loop between customer experience and product improvement.

This is a US-remote based role - we are not hiring in San Francisco or New York.

Qualifications

• 3+ years of hands-on US managed payroll experience, ideally covering multi-state payroll processing
• Strong working knowledge of federal and state payroll regulations, including tax withholding, garnishments, benefits deductions, and leave compliance
• Demonstrated ability to manage client-facing relationships with clear, proactive, and professional communication
• Comfortable working in a fast-moving, evolving environment
• Genuine comfort with technology; experience with or openness to AI-assisted workflows and automation tools
• Proficiency in Google Workspace or Microsoft Excel; experience with Salesforce or Jira is a plus
• Highly desirable: experience in a managed payroll, SaaS or HRIS environment, and/or FPC or CPP certification

Requirements

• Own the end-to-end payroll cycle for a portfolio of US customers — data collection, pre-validation, entry, and approval coordination — with full accuracy and audibility
• Conduct pre-validation reviews ahead of each pay run, flagging unapproved timecards, incomplete onboarding, pending time-off, rate changes, and qualifying life events
• Serve as the primary point of contact for assigned accounts; proactively anticipate escalation points and address them before they reach the customer
• Communicate clearly and professionally at every stage of the pay run cycle
• Play an active role in building the Managed Payroll program — defining SOPs, contributing to tooling requirements, and shaping the service model
• Partner with Product and Engineering to surface edge cases, document bugs, and help prioritise improvements
• Actively use and help refine automation and AI-assisted workflows within the Managed Payroll process
