Role Description

We're hiring a Director of Business & People Operations to own the company’s operating infrastructure. That includes:

• Utilization and capacity planning
• Workforce planning
• Operational inputs to margin
• Delivery operating system
• People operations
• Tool governance
• AI systems that will run much of it on autopilot

What you’ll walk into:

• We’re a bootstrapped, profitable 30-person agency on track for 76% revenue growth in 2026 and targeting 60% growth in 2027.
• We need an experienced operator to diagnose gaps, bring rigor, build systems, and fully own the function as we scale.

You will report to the CEO, join the leadership team, and manage a Senior Recruiter and Business Operations Manager.

AI is not a side project. We use ourselves as our own test client for AI-first workflows, and we expect this function to run on systems you build rather than hours people spend.

We require this role to be based in US Eastern or Central Time.

Responsibilities

• Own team utilization, capacity planning, and billability.
• Maintain the resource model tracking team capacity and hiring needs.
• Forecast capacity, flag staffing risks early, and automate routine reporting.
• Build and manage the workforce planning model.
• Serve as the central resource for headcount strategy, hiring schedules, progression paths, pay bands, and team economics.
• Own the operational inputs to every financial conversation.
• Design and own the delivery operating system.
• Own people operations, including onboarding, ramp design, and performance management.
• Own the tool stack and vendor ecosystem.
• Manage operating cadence.
• Drive AI and automation adoption across operations.

Success Metrics

• Month 1: Audit the tool stack, time tracking data, and existing SOPs; deliver a written assessment and a 6-month roadmap.
• Month 2: Rebuild and ensure accuracy of utilization and billability reporting; own the weekly operating cadence.
• Month 3: Provide documented diagnosis of operational problems costing the company time and money.
• Month 6: Develop a workforce planning model for leadership decisions; deploy at least two AI workflows.

Qualifications

• 5 to 8 years of operations experience, with at least 3 years in agency, consulting, or professional services.
• Experience managing people.
• Experience owning utilization and gross margin reporting.
• Experience shipping AI into an organization.
• Systems-minded with a focus on documentation and automation.
• Clear and concise communication skills.
• Comfortable in ambiguity.
• Meticulous attention to detail.
• Friendly and collaborative attitude.
