[Hiring] Reconciliation & Payments Specialist @Chargeflow

Role Description

This is a hands-on reconciliation role inside Chargeflow's Billing & Collections team. Money comes in from customers of every size — from small SMB merchants to large Enterprise accounts — across multiple payment channels, and you are the person who makes sure every payment is matched against what the customer was actually invoiced. It's detailed work, it lives largely in Excel, and getting it right matters.

The core of the job is ownership:

• Reconcile what a customer owes against what they've paid.
• Close the loop against the invoice issued.
• Chase open items well after the month has closed.

You will work across several systems where the data is often broken, incomplete, or simply wrong — so a critical eye is not optional. You need to be the person who notices discrepancies and cares enough to find out why. The role also involves:

• Turning manual, repetitive work into AI-assisted workflows.
• Working closely with Claude as a day-to-day partner.

Qualifications

• 2+ years of experience in reconciliation, collections, billing, or accounts receivable — ideally in fintech, SaaS, or eCommerce.
• A genuine ownership mindset — responsibility for accounts and detail-oriented.
• Persistence to stay on unpaid or unreconciled items until resolved.
• Strong Excel skills — pivot tables, VLOOKUP/XLOOKUP, SUMIFS, large data sets.
• A critical eye for data — comfortable working with inconsistent data.
• Strong attention to detail — able to spot discrepancies.
• Responsive and easy to work with — comfortable across various communication channels.
• Clear communicator — able to explain issues simply to non-finance individuals.
• Curious about improving processes — interested in using AI tools.
• Native or near-native English — clear, professional communication.
• Comfortable working with customers of all sizes, from SMB to Enterprise.
• Familiarity with chargebacks, payment disputes, or PSP data — an advantage.

Requirements

• Ownership of accounts end to end — responsible for reconciliation being clean, correct, and complete.
• Heavy lifting in Excel — spreadsheet-intensive role.
• Investigate unmatched, partial, or unexpected items down to root cause.
• Track customer debts and follow up until fully resolved.
• Keep clear, well-documented working papers.
• Be responsive to colleagues across Billing, Finance, Operations, and Customer Success.
• Work fluidly across Slack, monday.com, and email.
• Communicate directly with customers when necessary.
• Look for manual steps that can be improved.
