Role Description
Can you look at a stack of scattered invoices, contracts, and bank statements and see the story theyโre trying to tell? Do you enjoy tracing a payment back to its milestone, finding the missing piece, and turning fragmented records into something clean, structured, and reliable? One of our California-based clients, a project-based professional services firm, is looking for a Part-Time Accounting Operations Specialist to take ownership of organizing their historical financial information, reconciling client and contractor payments, and building better tracking of project billing milestones.
What youโll do:
-
Accounting & reconciliation: manage and organize accounts payable (AP) and accounts receivable (AR) records, and reconcile invoices, client payments, contractor payments, and bank transactions.
-
Identify discrepancies and missing information across financial records, and keep accounting records accurate and up to date in QuickBooks.
-
Project accounting: review contracts, project records, and payment histories to reconstruct each projectโs financial history by matching billing milestones, invoices, and payments.
-
Track project phases, completed milestones, amounts invoiced, payments received, and outstanding balances.
-
Identify gaps between project documentation and accounting records, and build structured databases and trackers to improve project-level financial visibility.
-
Data management: consolidate financial information from QuickBooks, spreadsheets, emails, and other historical records, and clean up customer and vendor information.
-
Develop tracking spreadsheets and reporting tools that support ongoing decision-making.
-
Document existing workflows, establish standardized accounting procedures, and identify opportunities to streamline manual processes.
-
Work collaboratively with the current team while providing consistent operational support with minimal supervision.
