Role Description

The Training Coordinator and LMS Administrative Support Specialist will coordinate client training events and provide day-to-day operational support for Government-approved learning activities in client's enterprise learning environment. The role combines training scheduling, participant communications, registration, logistics, materials coordination, and delivery readiness with routine LMS course setup, enrollment, roster, transcript, completion, certification, metadata, and learner-record administration. Working with client stakeholders, instructors, facilitators, learning systems personnel, and program leadership, this specialist will keep training activities organized, LMS data accurate, and records complete and auditable. The role supports Government-defined processes and does not independently set priorities, approve governance decisions, redesign enterprise workflows, or perform major system configuration.

DUTIES

  • Coordinate Government-approved virtual and in-person training events, including schedules, calendars, participant communications, registration, facilities, platforms, materials, and delivery logistics.
  • Maintain training calendars and event records and confirm instructor, facilitator, participant, platform, facility, and material readiness before delivery.
  • Support the Government's training intake process by documenting incoming requests, capturing requirements, maintaining approved tracking tools, monitoring status, and coordinating follow-up with stakeholders.
  • Prepare, format, quality-check, and distribute approved course information, participant instructions, rosters, materials, evaluations, and completion documentation through authorized systems and channels.
  • Set up and administer courses in the designated enterprise LMS, including course structures, descriptions, metadata, reporting fields, learning paths, enrollment rules, access controls, tracking parameters, and completion criteria.
  • Process learner registrations and enrollments; maintain rosters; reconcile attendance; and update completion, transcript, certification, credential, and other learner records.
  • Provide routine user account support and basic troubleshooting for enrollment, access, navigation, completion, transcript, and course-availability issues; document and escalate issues that require technical or Government action.
  • Validate course configurations and learner access before deployment and coordinate with learning systems personnel to resolve LMS, data, or content issues.
  • Maintain accurate course metadata, catalog entries, learning pathway information, and related records in accordance with Government standards and enterprise catalog governance.
  • Reconcile LMS data with attendance records, external files, or other authorized sources; identify discrepancies, document corrective actions, and support accurate reporting and learner history.
  • Generate and maintain routine operational reports on registration, attendance, enrollment, completions, transcripts, certifications, course activity, utilization, and service-request status.
  • Maintain complete, current, and auditable records of training requests, course setup, participant communications, attendance, evaluations, completions, LMS actions, issues, approvals, and deliverables.
  • Coordinate review of training materials and LMS content for accuracy, completeness, formatting consistency, LMS compatibility, and Section 508 accessibility; document and route deficiencies for remediation before release.
  • Support governance and operational meetings by preparing agendas and status information, documenting decisions and action items, and maintaining request, dependency, risk, and outcome records.
  • Use approved naming conventions, folder structures, access controls, version-control practices, and records-management procedures for training and LMS documentation.
  • Protect client information and Government-furnished equipment, credentials, materials, and records by following security, privacy, and acceptable-use requirements.
  • Monitor competing deadlines, follow up with responsible personnel, communicate status and constraints, and promptly elevate issues that could affect training delivery, learner access, data accuracy, or schedule performance.
  • Perform other duties within the scope of the position and contract requirements.

Qualifications

  • Bachelor's degree in business administration, education, training and development, human resources, information systems, communications, or a closely related field is required. Years of experience may be used as a substitute for education on a case-by-case basis.

Requirements

  • At least three years of relevant professional experience in training coordination, learning operations, LMS administration, event support, program administration, or a comparable role.
  • Demonstrated experience scheduling and coordinating virtual or in-person training, including registration, participant communications, logistics, materials, rosters, attendance, and completion records.
  • Experience performing routine LMS administration such as course setup, catalog or metadata maintenance, enrollment processing, user access support, roster management, transcript processing, completion tracking, certification support, or operational reporting.
  • Ability to validate course configurations and learner access, perform basic troubleshooting, document issues clearly, and escalate technical or data problems to the appropriate owner.
  • Experience maintaining accurate data, reconciling records, correcting discrepancies, and producing auditable reports or operational documentation.
  • Intermediate to advanced proficiency with Microsoft Word, Excel, PowerPoint, Outlook, Teams, and shared collaboration or records platforms.
  • Strong attention to detail and demonstrated ability to manage multiple training events, service requests, deadlines, records, and stakeholder communications in a primarily remote environment.
  • Strong written and verbal communication, customer service, organization, follow-through, and problem-solving skills.
  • Ability to follow Government-defined intake, governance, records, security, privacy, LMS, accessibility, and approval procedures without exceeding delegated authority.
  • Ability to obtain and maintain the credentials, badges, network access, and security approvals required for a Tier 2 Sensitive Moderate Risk position, including required security, privacy, records-management, and role-based training.
  • Authorization to work in the United States without current or future employer sponsorship.

Preferred Qualifications

  • Experience supporting federal agencies, particularly an enterprise learning, public health, scientific, regulatory, or compliance program.
  • Experience working in an enterprise LMS and with course catalogs, learning paths, certifications, continuing education, transcripts, or compliance training records.
  • Experience coordinating instructor-led, virtual instructor-led, blended, or self-paced learning activities for geographically dispersed audiences.
  • Familiarity with Section 508 accessibility requirements, SCORM or comparable eLearning packages, LMS content testing, or accessible Microsoft Office and PDF practices.
  • Experience with SharePoint, OneDrive, ServiceNow, Power BI, learning intake tools, help-desk ticketing, or comparable Government-approved systems.
  • Training or certification in learning management systems, training coordination, records management, Microsoft Office, project coordination, or a related discipline.
