Role Description
The Remote Intake Specialist will serve as the first point of contact for Doctor2Me's patients, acting as a "remote front desk" representative for our 24/7 concierge medical service. Based remotely in the Philippines, you will handle incoming calls from patients with urgency, professionalism, and empathy, ensuring each patient feels heard and cared for from the very first interaction.
- Gather critical client information (personal details, location, symptoms) and guide them through the intake process.
- Schedule urgent appointments and coordinate with on-call doctors for house visits or telehealth consultations.
- Bridge patients' needs with our network of doctors, making real-time decisions to match each patient with the appropriate physician.
- Work closely with a team of fellow intake specialists to ensure seamless 24/7 coverage and an exceptional service experience for every patient.
Key Responsibilities
- Frontline Patient Communication: Answer and manage intake phone calls from patients in a friendly, professional manner.
- Patient Information Gathering: Obtain and record detailed client information, including personal details, location, and a summary of symptoms.
- Appointment Scheduling: Quickly assess the urgency of the patient's needs and schedule same-day or urgent appointments accordingly.
- Doctor Coordination: Determine and assign the appropriate doctor for each case based on the patient's symptoms, location, and timing.
- Communication & Follow-Up: Send out confirmation details and informative follow-ups to patients and doctors.
- Post-Appointment Follow-Up: Reach out to patients to confirm their issue was addressed and they are satisfied with the service.
- Issue Resolution & Troubleshooting: Proactively manage and resolve logistical issues that may occur during the intake or appointment process.
- Shift Handover: Collaborate closely with other intake specialists during shift overlaps to ensure a smooth handoff of any in-progress cases.
- Administrative Tasks: Maintain organized records of all interactions in the system.
Qualifications
- 1+ years of experience in a customer service, patient intake, or call center role.
- Fluent English proficiency, with a clear speaking voice and strong written communication.
- A genuine passion for helping people and providing outstanding service.
- Exceptional multitasking and organizational abilities.
- Comfortable using technology to facilitate workflow.
- Critical thinking and quick decision-making skills.
- Meticulous in recording patient information and scheduling details.
- Ability to work as part of a remote team.
- Comfortable working in a fast-paced, 24/7 operational environment.
- A dependable high-speed internet connection and a quiet, professional environment for taking calls.
Requirements
- Experience with electronic medical record (EMR) systems, scheduling software, or CRM tools is preferred.
- Ability to troubleshoot minor tech issues independently.
- Willingness to continuously learn about Doctor2Me's services and any new tools or protocols.
