Role Description

The Invoice Copy Delivery Assistant handles a narrow but useful customer service task: requests for copies of invoices that have already been issued. Responsibilities include:

• Locating the correct invoice through the employer’s online system.
• Checking the requester’s approved contact details.
• Sending or arranging access to the existing document.
• Identifying the invoice in question and ensuring the permitted recipient can obtain a copy.
• Recording what happened during the request process.
• Asking for a reference or passing the issue along when there is no confident match.

For straightforward requests:

• Identify the supplied invoice or order reference.
• Find the existing issued document and compare its date with the customer’s description.
• Confirm the approved recipient before releasing the file or link.
• Record the action in the account note once a copy has been sent.

This job is suitable for someone who can carry out a repeatable check without treating every request as identical. The employer will teach the system, the approved recipient checks, and the handoff process.

Qualifications

• Prior office administrative or billing-document experience is helpful but not necessary.
• Ability to use a computer, compare references, and write straightforward emails.
• Experience in keeping digital records or helping someone locate a document is beneficial.

Requirements

• Ability to work independently on ordinary copy requests.
• Capability to ask a colleague about unclear accounts or recipients.
• A quiet home office area to handle account information carefully.
