[Hiring] Customer Portal Administrator @VORTEX INDUSTRIES, LLC

Role Description

As we keep growing, we’re looking for a Customer Portal Administrator to join our Customer Care team. You’ll be the go-to expert for invoicing and collections across our customers’ online portals, helping our Service Centers bill correctly the first time and get paid faster. You’ll audit, train, and partner with Branch and Office Managers to make portal invoicing simple, consistent, and on time.

What You’ll Do

• Support Service Centers with portal invoicing and collections, serving as their first point of contact for questions and escalations.
• Audit portal invoicing activity and train Office Managers on best practices, including the Salesforce Portal Report, portal communications, and invoice standards.
• Partner with Branch and Office Managers to resolve invoicing and collections issues quickly and keep them from coming back.
• Provide fast, responsive communication so Service Centers always know where things stand.

What Success Looks Like

• Fewer portal invoicing misses, such as invoices that never get loaded into a customer portal.
• Lower portal collections balances, driven by accurate first-time invoicing and consistent follow-up.
• Stronger portal knowledge and processes at every Service Center.
• Service Centers completing all portal invoicing tasks (daily review, billing, and upload) within 24 hours.
• A shorter order-to-cash cycle across all portal customers.

Qualifications

• Strong working knowledge of customer portals such as Service Channel, Corrigo, Coupa, Ariba, Ecotrak, and OfficeTrax.
• Familiarity with Vortex Service Center office operations.
• Advanced Salesforce skills (Super User level).
• Intermediate Excel skills for data analysis and reporting.
• Experience building or tailoring systems and processes that improve operations.
• Experience defining and leading projects from start to finish.

Requirements

• Strong knowledge of Customer Portals (E.g. Service Channel, Corrigo, Coupa, Ariba, Eco Track, OfficeTrax).
• Familiar with Vortex SC Office Operations.
• Salesforce Level – Advance / Super User.
• Excel Analysis – Intermediate.
• Experience creating tailoring systems and processes to improve operations.
• Familiar Defining and Leading Projects.
