[Hiring] Care Coordinator @Humantold

Role Description

Humantold is seeking a motivated, people-first professional to join our team as Care Coordinator. In this role, you’ll be the first point of contact for potential clients - responsible not only for guiding them through our intake process with empathy, but also for connecting them with the care they need by confidently and effectively converting inquiries into scheduled appointments. This role blends client service with performance-based metrics and offers incentives tied to your results. Key Responsibilities

• Client Experience & Retention
  • Book clients with therapists and providers
  • Support client retention within Humantold
  • Ensure clients feel satisfied with both their therapist and overall Humantold experience
  • Follow up with transfer list clients
  • Collect client feedback and escalate concerns appropriately
  • Attend Meet & Greets and support client relationship-building initiatives
• Client Communication
  • Manage general phone line communications
  • Conduct consult call email follow-up
  • Confirm appointments and details directly with clients
  • Support clients through phone, email, and text communication as needed
• Client Support & Escalation
  • Become involved in records requests when concerns arise
  • Become involved in credit card/payment concerns when needed
  • Send and follow up on consent forms via email, text, and phone
  • Ensure consent forms are signed before the first appointment
  • Become involved when issues arise
  • Support Testing Payment Plan negotiations and send confirmations

Qualifications

• High school diploma or equivalent; a bachelor’s degree is preferred
• Experience in a customer service, sales, or healthcare/mental health intake setting is strongly preferred
• Excellent communication and interpersonal skills - you can build rapport and inspire confidence quickly
• Comfortable working with performance metrics and using them to guide your workflow
• Highly organized with the ability to manage multiple conversations and follow-ups simultaneously
• Tech-savvy and comfortable with EHR systems, Google Suite, and CRM tools
• Ability to handle sensitive and confidential information with discretion
• A sincere interest in mental health, wellness, and client advocacy

Requirements

• Base salary of $35,360.00 / yr
• $30 incentive added to your pay for every completed booking
• Incentive-based pay paid bi-weekly with base pay
