Role Description

As a Transaction Coordinator, you will serve as the organizational backbone of our real estate operations, ensuring every deal moves smoothly from an executed contract to a successful closing. You will have a direct impact on our company's reputation and client satisfaction by managing strict timelines, coordinating with multiple stakeholders, and proactively eliminating bottlenecks. This is an exciting opportunity for a highly meticulous professional to take charge of a high-volume pipeline, optimize closing workflows, and drive operational excellence from anywhere in the world.

Key Responsibilities:

• Manage a pipeline of 30–40 active real estate transactions simultaneously, guiding each from the initial executed contract through to a successful, on-time closing.
• Coordinate seamless daily communication between buyers, sellers, real estate agents, escrow companies, and lenders to ensure 100% alignment on deal progress.
• Audit all real estate contracts, disclosures, and addendums for accuracy, obtaining any missing signatures and documentation within 24 hours of receipt.
• Track and enforce critical contingency deadlines (earnest money deposits, inspections, appraisals) by sending automated and manual reminders to all relevant parties.
• Maintain the company CRM and transaction management software (e.g., Dotloop, SkySlope) daily to guarantee real-time visibility and compliance for the leadership team.
• Resolve administrative hurdles proactively, escalating critical, deal-threatening issues to the lead agent alongside proposed solutions to maintain a 95% on-time closing rate.

Qualifications

• Minimum 2 years of experience as a Real Estate Transaction Coordinator or in a dedicated real estate administrative role (Required).
• Deep understanding of the standard real estate transaction process, compliance requirements, and contract terminology (Required).
• Exceptional organizational and time-management skills with a proven ability to juggle multiple high-stakes deadlines without letting details slip (Required).
• Proficiency in standard transaction management platforms (e.g., Dotloop, SkySlope, DocuSign) and CRM tools (Required).
• Excellent written and verbal English communication skills to interact professionally with diverse, US-based stakeholders (Required).
• Prior experience working remotely with US real estate teams or brokerages (Preferred).
• Active or former Real Estate License (Preferred).
