Role Description

The Staff Acknowledgement Record Assistant checks the online list, records confirmations that have actually been received, and identifies items still awaiting a response. This remote position is administrative and does not involve writing workplace policy, assessing understanding, or deciding consequences for non-acknowledgement.

• An acknowledgement is a recorded action.
• Compare the approved distribution list with confirmations returned through the specified channel.
• Flag discrepancies such as duplicate names or staff members who have moved departments.
• Ensure the version of the document named in the record matches the one distributed.
• Send routine reminders using approved wording and recipient lists.

The work may include:

• Matching incoming acknowledgements to the correct person and document version.
• Recording the date of a confirmation in the designated online system.
• Spotting duplicates or ambiguous names and asking for clarification.
• Keeping a pending list accurate without assuming silence means agreement.
• Sending approved reminders when instructed.
• Providing a factual status summary to the authorised team member.
• Preserving the record of corrections as required.

The work calls for discretion, as you may see information about staff who are away or whose status is being checked. You would record only what the system and instructions require and refer unusual questions to the responsible team.

A version change needs particular care to ensure the record shows which version each acknowledgement concerns.

Qualifications

• Previous office administration or HR support experience is helpful but not required.
• Ability to check names and dates, follow a written list, and write polite short messages.
• Experience tracking attendance or responses for a class or volunteer group may be relevant.
• No HR qualification is needed for the limited recording duties described.
