Role Description

We are seeking an experienced Senior Business Operations & Investment Operations Specialist to become the operational backbone of a rapidly growing investment management firm. This is a highly cross-functional role supporting:

• Business operations
• Recruiting
• People operations
• Executive support
• Investor relations
• Finance
• Fund operations
• AI-driven process automation

The ideal candidate is an experienced operator who thrives in fast-paced startup environments, enjoys building scalable systems, and has a strong understanding of finance, accounting, and investment operations. Rather than simply maintaining processes, you'll continuously improve them through automation and AI while supporting critical business and fund operations.

What You'll Do

• Business Operations
  • Coordinate daily business operations across multiple teams.
  • Manage leadership calendars, meetings, and cross-functional initiatives.
  • Support weekly operational reviews and quarterly business planning.
  • Develop and improve operational playbooks, documentation, and reporting.
  • Manage vendors, subscriptions, and internal business systems.
• Recruiting & People Operations
  • Own recruiting coordination, interview scheduling, onboarding, and offboarding.
  • Maintain HR records and support people operations.
  • Help foster a collaborative and engaging remote culture.
• Investor Relations & Executive Support
  • Manage investor communications and coordinate meetings.
  • Prepare leadership materials and board meeting logistics.
  • Coordinate executive travel and strategic initiatives.
  • Track priorities and ensure timely follow-up across leadership projects.
• Finance & Fund Operations
  • Support company expense management, invoices, reimbursements, payroll coordination, and financial administration.
  • Assist with fund operations, including investor onboarding, subscriptions, redemptions, transfers, and fund administration activities.
  • Review fund reporting and NAV information before leadership approval.
  • Support capital calls, distributions, fee calculations, and investor reporting.
  • Assist with new fund launches and operational setup.
  • Coordinate with external fund administrators and internal finance teams.
• AI & Systems Optimization
  • Become the internal expert on the company's operational systems.
  • Continuously identify opportunities to improve workflows through AI and automation.
  • Build AI-powered workflows, automations, and agents that eliminate manual work.
  • Measure operational improvements through efficiency gains and scalability.
• Sales & Marketing Support
  • Support outbound sales initiatives and communication campaigns.
  • Assist with CRM management and business development operations.

Qualifications

• C2 / Near-native English proficiency.
• 8+ years of experience in Business Operations, Operations, Chief of Staff, Finance Operations, Fund Operations, or similar cross-functional roles.
• Previous experience working in a fast-paced startup environment.
• Strong understanding of accounting principles, including P&L, Balance Sheet, and Cash Flow.
• Experience supporting finance operations and business processes.
• Exceptional organizational, communication, and project management skills.
• Strong systems thinking with a continuous improvement mindset.
• Hands-on experience using AI tools and workflow automation.
• High level of ownership, discretion, and ability to manage confidential information.
• Comfortable working directly with founders and executive leadership.

Preferred Qualifications

• Experience in investment management, asset management, capital markets, hedge funds, private equity, venture capital, wealth management, family offices, or fund administration.
• Experience reviewing NAVs, fund accounting, investor onboarding, subscriptions, redemptions, KYC/AML, capital calls, distributions, or fund reporting.
• Experience with accounting, financial operations, or controller support.
• Experience building automations using Zapier, Make, AI agents, or similar platforms.
• Recruiting, HR, or People Operations experience.
