Role Description

As a Scaled Engagement Manager at Databricks, you will be the operational engine of our high-growth Meetings at Events program. You will report to the Senior Director of Executive Engagement within the Sales Go-to-Market (SGTM) organization, and work alongside the Meetings Program Lead, who sets the overall strategy and executive motion. You'll own day-to-day execution across first- and third-party events, including meeting operations, reporting, enablement, and program documentation.

Key Responsibilities

• Meeting Operations & Event Execution
  • Own meeting request intake, triage, approvals, scheduling, and real-time changes for Account Team-Led meetings, ensuring a smooth and consistent workflow.
  • Oversee venue logistics and space planning, including room setup, signage, access, attendee tracking, and coordination with Marketing on food & beverage.
  • Direct operations contractors supporting meeting tools, setup, go-live execution, QA, scheduling, and meeting-space/venue logistics.
  • Provide on-site support at events globally, managing room flow, check-in, executive routing, scheduler coverage, and real-time conflicts.
  • Step in to cover additional events alongside the Program Lead and operations contractors based on concurrent event volumes.
• Reporting, Analytics and Outcomes
  • Own operational reporting across RainFocus, Jifflenow, AI/BI dashboards, SFDC campaigns, and other data sources.
  • Turn complex data into actionable insights, deep-dive analysis, and leadership readouts.
  • Direct the operations contractors on dashboard production, data QA, and survey assembly to ensure data integrity.
  • Produce post-event recaps, surveys, and analytics that track performance against event and FY OKRs, partnering with Marketing Analytics on pipeline attribution and ROI reporting.
  • Capture and reconcile meeting outcomes, including sales-team notes and post-event results.
• Enablement & Communications
  • Own the creation, maintenance, and distribution of enablement materials (e.g., Know Before You Go guides, cheat sheets, best practices, calendar) for Sales, Marketing, and SGTM teams.
  • Own program communications, drafting field updates and bi-weekly progress reports for the Program Lead’s review.
  • Coordinate training sessions and office hours, serve as an escalation point for request approvals, and direct operations contractors in providing frontline event Slack support/Q&A.
• Program Management & Documentation
  • Maintain and author the substance of the Meetings-at-Events Playbook, process documentation, and operating standards across first- and third-party events.
  • Act as the dedicated project manager for the Data + AI Summit (DAIS) planning meeting workstream, owning meeting notes, updates, and follow-ups.
  • Partner cross-functionally with Marketing, Product, Sales, and Event Tech to coordinate logistics, surface risks/dependencies to the Program Lead, and translate lessons learned into improved workflows.
  • Support quarterly event portfolio reviews and maintain event-tiering and third-party account-capture trackers.

Qualifications

• 7+ years of meeting, event, or program coordination experience in a B2B enterprise software company.
• Experience coordinating event logistics, meeting space, vendors, and/or budgets.
• Proven ability to configure tools, direct operational setup, manage meeting requests, track attendee data, run reporting, and directly oversee event go-live (hands-on configuration experience with tools like Jifflenow and RainFocus is a plus).
• Very strong analytical and reporting skills, with the ability to comfortably navigate data exports.
• Experience utilizing tools (e.g., Google Sheets, Excel) for data management, visualization, and reconciliation is highly preferred.
• Highly organized and detail-oriented, with the proven ability to flawlessly manage multiple workstreams, stakeholders, and event timelines accurately under pressure.
• Excellent written and verbal communication skills, with the ability to author clear enablement materials and program playbooks.
• Self-starter who is comfortable operating independently on execution and resolving issues in fast-moving event environments, while aligning with broader program strategy.
• Metrics-driven and process-oriented, with a track record of identifying opportunities to improve workflows and program execution.
• Familiarity with Salesforce and Asana is a plus.
• Travel required for events.
