Role Description
As an RFP Response Specialist, you will be creating and responding to proposals for some of the largest research organizations in the country, including universities, healthcare systems, and government institutions. You will manage the proposal response process from start to finish, coordinating with Sales, Marketing, Engineering, Product, Professional Services, and legal to ensure accurate and timely responses.
- Maintain and update the existing RFP response database to ensure accuracy and consistency.
- Categorize past RFPs for easy reference and reporting.
- Respond to RFPs, RFIs, and security assessments.
- Create standardized templates for responses and preemptive use with prospects.
- Assist the sales organization with additional responsibilities as needed.
Responsibilities
- Manage multiple RFPs simultaneously to ensure accurate and professional responses submitted by deadlines.
- Review complex solicitation documents to identify tasks/requirements and determine effective response approaches.
- Act as a knowledgeable resource providing solicitation/proposal process expertise.
- Collaborate with Sales Executives/Account Executives and departments to tailor responses to prospect requirements.
- Develop proposals using Microsoft Word and PowerPoint with speed and accuracy.
- Ensure compliance with specific RFP requirements.
- Establish and manage timelines, serving as a project manager for the proposal process.
- Develop new or customized content for unique proposal RFP questions.
- Manage the proposal content library for easy reference and accuracy.
- Research lost proposals through the Freedom of Information Act.
- Create standardized proposal templates for specific product lines and industries.
- Stay knowledgeable on current product lines for accurate responses.
- Manage a dynamic queue of assignments, prioritizing to meet strict deadlines.
- Be a team player willing to expand responsibilities in a growing organization.
- Utilize RFP software such as Loopio.
Qualifications
- Bachelor's degree or equivalent experience required.
- Minimum of 3 years of related project management, persuasive writing, journalism, and/or sales and marketing experience required.
- Experience with government, higher education, and healthcare organization proposals preferred.
- Excellent knowledge of English grammar, spelling, and composition, both written and verbal.
- Self-directed professional with strong interpersonal and client-service skills.
- Effectively interface with employees and leaders at all levels within the firm.
- Strong attention to detail, including proofreading and editing skills.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook, and SharePoint).
- Extensive knowledge of Microsoft Word preferred including using styles, graphics, tables, fill-in fields, Quick Parts, cross-references, etc.
- Experience with Adobe Creative Suite, Salesforce.com, and Loopio preferred.
- Prior SaaS software experience a must have for this position.
