Role Description

The Policy Acknowledgement Tracker is responsible for administrative tracking of policy acknowledgements in a remote setting. This role involves:

• Working with an approved online list to record confirmations.
• Following the employer's reminder procedure.
• Ensuring the distribution list is accurate and dependable.
• Preparing summaries for the document owner regarding acknowledgements.
• Providing customer service through reminders and answering routine questions.

Qualifications

• Experience in customer service, office administration, list maintenance, or volunteer coordination is useful.
• No prior HR or compliance experience is required.
• Willingness to learn and adapt to the task.
• Comfortable with online spreadsheets and email.
• Accurate with names and details.

Requirements

• Compare assigned distribution lists with incoming acknowledgement records.
• Update the online tracker for confirmations and pending responses.
• Send courteous reminders according to the provided schedule.
• Check returned emails and report addresses that need correction.
• Identify duplicate names or uncertain confirmations for review.
• Keep the current document link in the approved communication.
• Prepare a simple status summary for the document owner.
• Route policy-content questions to someone authorized to answer them.
