Role Description

Nextlink is seeking an experienced PeopleDoc Consultant to support the migration of HR document generation capabilities from Workday HCM to PeopleDoc. This role is responsible for delivering high-quality document template migration, configuration, testing, and post-deployment support while ensuring business continuity, compliance, and an exceptional employee experience.

The successful candidate will possess strong expertise in PeopleDoc Document Generation and Employee Document Management, combined with a practical understanding of Workday HCM data structures, document templates, and HR business processes. Working closely with HR, Workday, Integration, Legal, Compliance, and Technology teams, the consultant will ensure that HR document templates are accurately converted, validated, and deployed with minimal business disruption.

Key Responsibilities

• Workday to PeopleDoc Template Migration
  • Assessing existing Workday document templates and migration complexity.
  • Converting document templates while preserving business logic, formatting, branding, and conditional rules.
  • Mapping Workday data fields to PeopleDoc placeholders and tokens.
  • Rebuilding document generation logic within PeopleDoc.
  • Configuring reusable template components and template libraries.
  • Supporting multilingual document requirements where applicable.
  • Validating migrated templates for accuracy, consistency, and compliance.
  • Supporting deployment and post-migration stabilization activities.
• PeopleDoc Configuration & Document Management
  • Configure and maintain PeopleDoc document generation solutions, including:
    • Document templates
    • Document workflows
    • Employee file structures
    • Template categories
    • Document metadata
    • Retention policies
    • Access controls
    • Archive configuration
  • Ensure document management solutions remain secure, scalable, and compliant with organizational standards.
• Workday Data Mapping & Analysis
  • Collaborate with HR and Workday teams to analyse source templates and business requirements by:
    • Understanding Workday HCM business objects and employee data.
    • Reviewing calculated fields, business rules, and document logic.
    • Preparing source-to-target mapping documentation.
    • Mapping employee, job, organization, position, compensation, and personal data fields.
    • Identifying gaps and recommending configuration solutions.
    • Supporting data validation and exception handling.
• Configuration, Testing & Deployment
  • Support the complete migration lifecycle including:
    • Template inventory assessment
    • Migration planning
    • Configuration
    • Unit Testing
    • System Integration Testing (SIT)
    • User Acceptance Testing (UAT)
    • Regression Testing
    • Production deployment
    • Hypercare support
  • Validate PeopleDoc-generated documents against Workday outputs to ensure:
    • Accurate field mapping
    • Correct conditional logic
    • Consistent formatting
    • Branding compliance
    • Business rule accuracy
    • Regulatory compliance
• Documentation & Governance
  • Produce and maintain high-quality project documentation including:
    • Configuration workbooks
    • Template migration documentation
    • Source-to-target mapping documents
    • Test scripts
    • Defect logs
    • Deployment checklists
    • Operational handover documentation
    • Support knowledge articles
  • Ensure all migration activities comply with change management, audit, and governance requirements.
• Business Support & Continuous Improvement
  • Support Agile delivery teams by:
    • Managing migration activities within cross-functional squads.
    • Resolving document generation incidents.
    • Supporting BAU enhancements.
    • Identifying opportunities to improve document generation processes.
    • Contributing to continuous improvement initiatives across HR document management.

Qualifications

• Bachelor's degree in Information Technology, Computer Science, Human Resources, Business Information Systems, or a related discipline.
• Experience with PeopleDoc (UKG HR Service Delivery) implementations is highly desirable.
• Workday HCM knowledge or certification is advantageous.
• Agile or Scrum certification is beneficial.

Requirements

• Proven experience implementing or supporting PeopleDoc Document Generation solutions.
• Hands-on experience migrating HR document templates from Workday to PeopleDoc.
• Strong understanding of Workday HCM data structures and document generation processes.
• Experience configuring document templates, workflows, metadata, and employee file structures.
• Experience supporting large-scale HR transformation or HRIS implementation programmes.
• Experience performing document validation, testing, and production deployments.
• Experience supporting Agile delivery methodologies and cross-functional project teams.
• Experience providing post-go-live support and BAU enhancements.
