Role Description

We are looking for a detail-oriented and proactive E-commerce Operations Specialist to support the daily management of online marketplaces, website content, promotional activities, and e-commerce operations. This role will work closely with the marketing and operations teams to ensure product listings remain accurate, campaigns are executed on time, and customer-facing platforms function effectively. The ideal candidate combines strong administrative skills with practical e-commerce experience and a working understanding of digital marketing, inventory coordination, and online marketplace performance.

Key Responsibilities

• E-commerce Marketplace Management
  • Upload, update, and maintain product listings and enhanced content on Amazon Seller Central using supplied copy, briefs, and creative assets.
  • Extract and organise search term reports using standard templates to support keyword research and listing optimisation.
  • Monitor marketplace cases and coordinate the resolution of listing errors, account issues, and other operational concerns.
  • Track competitor pricing, product availability, and stock levels, maintaining accurate weekly reports.
  • Monitor customer reviews and product Q&A, escalating negative feedback and potential customer concerns.
  • Monitor Buy Box status, listing suppressions, and account alerts, ensuring issues are reported and addressed promptly.
  • Identify potential brand protection violations and unauthorised sellers, documenting and reporting relevant cases.
  • Refresh eBay listings and coordinate promotional activities as required.
• Shopify & Website Administration
  • Schedule and update website announcement bars, banners, and promotional content.
  • Set up promotions and ensure campaign messaging, product details, and website updates are accurate.
  • Publish approved blog articles, recipes, and other supplied content through Shopify.
  • Create, test, and manage discount codes, including promotional conditions and expiry dates.
  • Conduct routine website checks for broken links, 404 errors, and content inconsistencies.
  • Perform quality assurance checks on Klaviyo email flows, including test emails, link functionality, and email rendering.
• Social Media & Marketing Coordination
  • Source, organise, and maintain a library of user-generated content (UGC) for marketing purposes.
  • Schedule approved social media posts using tools such as Later and Meta Business Suite.
  • Monitor social media comments and messages, provide appropriate first responses, and escalate issues when necessary.
  • Assist with influencer outreach administration, including maintaining campaign trackers, coordinating product seeding, and following up on outstanding deliverables.
  • Keep marketing records and content schedules organised and up to date.
• Inventory & Operations Support
  • Follow up on purchase orders, invoices, and supplier documentation as required.
  • Monitor inventory levels and coordinate replenishment by preparing or raising purchase orders in accordance with established procedures.
  • Coordinate product sample preparation, dispatch, and delivery tracking.
  • Maintain accurate inventory and operational records while escalating stock shortages, supplier delays, and fulfilment concerns.
• Digital Advertising Support
  • Demonstrate a working understanding of Meta Ads and Google Ads platforms.
  • Assist with routine campaign monitoring, performance reporting, and basic optimisation activities.
  • Review advertising metrics and flag significant performance changes or opportunities for further investigation.
  • Coordinate with relevant team members to ensure advertising campaigns align with current promotions, product availability, and website updates.

Qualifications

• Previous experience in e-commerce operations, marketplace administration, digital marketing coordination, or a similar role.
• Hands-on experience with Amazon Seller Central, including product listings, A+ Content, search term reports, and listing health monitoring.
• Practical experience using Shopify to manage website content, promotions, discount codes, and routine updates.
• Familiarity with eBay or other online marketplace platforms.
• Experience with social media scheduling tools such as Later or Meta Business Suite.
• Exposure to Klaviyo or other email marketing platforms, including basic email testing and quality assurance.
• Working knowledge of Meta Ads and Google Ads, including campaign performance metrics and basic optimisation.
• Proficiency in spreadsheets, reporting templates, and administrative tracking systems.
• Strong written communication, organisation, and follow-up skills.
• Excellent attention to detail and the ability to manage multiple tasks and deadlines.

Preferred Qualifications

• Experience supporting a consumer goods, food and beverage, wellness, or product-based e-commerce business.
• Familiarity with inventory tracking, purchase orders, supplier coordination, and product sample dispatch.
• Understanding of marketplace compliance, brand protection, customer reviews, and listing performance.
• Ability to work independently, follow established procedures, and escalate issues appropriately.
