Role Description

The Archive Transfer List Assistant prepares a dependable list of records during the transfer of approved digital records to an archive. This role focuses on traceability and involves the following tasks:

• Prepare a list of transferred records, checking file references.
• Compare the supplied list with available files and note any discrepancies.
• Ensure the transfer follows the determined scope and leaves a usable record.
• Record the original reference, destination, and completion status for each item.
• Mark unresolved issues instead of adding them to the completed count.
• Check that files open in their approved destination and are locatable.
• Flag previous versions of files with the same name for decision-making.
• Handle only files permitted by the transfer instructions.
• Keep exceptions separate from completed moves.
• Communicate clearly about unresolved items and provide factual answers.

Qualifications

• Previous office administration or records experience is helpful but not required.
• Comfortable using digital folders and comparing filenames.
• Ability to write concise status notes.
• Transferable examples include organizing course files or maintaining shared project folders.
