[Hiring] Travel Consultant @DP World

2d ago - DP World is hiring a remote Travel Consultant. 💸 Salary: usd 58,000 - 65,000 per year 📍Location: USA

Role Description

The Travel Coordinator administers travel and mobility planning for a traveling workforce supporting data center launches and installations. Working from a home office under general direction, the Travel Coordinator evaluates deployment requirements, develops travel plans, manages travel budgets and supplier performance, and advises deployment leaders on options that balance cost, employee needs, travel policy, and operational readiness.

The proposed role includes independent evaluation of travel alternatives, recommendations on supplier arrangements and operating practices, and decisions within approved budgets and delegated authority. The Travel Coordinator is accountable for the effectiveness of travel support across assigned deployments and coordinates booking execution directly or through approved travel management partners. Deployments may be requested with as little as 48 hours’ notice.

Essential Duties and Responsibilities

  • Develop travel and mobility plans for assigned deployments, assessing workforce volume, destinations, reporting dates, shift schedules, assignment duration, lodging capacity, transportation needs, and total projected cost.
  • Evaluate alternative deployment travel arrangements and recommend options to Operations based on cost, service reliability, traveler needs, and the effect on launch readiness.
  • Identify constraints early and advise leaders on feasible alternatives.
  • Develop and maintain deployment travel forecasts and budgets by site and cost center.
  • Analyze spending and variances, recommend corrective actions, and obtain approval for commitments or exceptions outside delegated authority.
  • Evaluate travel providers and lodging and transportation options.
  • Negotiate proposed rates, room blocks, cancellation terms, billing arrangements, and service commitments with Procurement.
  • Make supplier recommendations and secure required approvals before commitments.
  • Determine responses to travel disruptions within approved policy and spending authority.
  • Escalate safety concerns, policy exceptions, and expenditures beyond authority.
  • Develop and recommend improvements to travel readiness procedures, booking controls, supplier escalation practices, and contingency plans.
  • Implement approved changes and assess their effectiveness across deployments.
  • Confirm approved traveler rosters, travel authorizations, cost centers, and reporting requirements.
  • Arrange or oversee air travel, hotels, airport transfers, and recurring hotel-to-site transportation through approved channels.
  • Maintain readiness for requests received within 48 hours through current traveler profiles, supplier contacts, available capacity information, escalation contacts, and documented backup coverage.
  • Ensure travelers receive complete itineraries, confirmations, reporting instructions, emergency contacts, and assistance procedures.
  • Communicate changes clearly and professionally to employees, leaders, and suppliers.
  • Monitor booking status, arrivals, roster changes, missed connections, and transportation gaps.
  • Coordinate with site leaders and travel partners to resolve issues affecting deployment readiness.
  • Analyze supplier performance, travel spending, cancellations, unused tickets, and service failures.
  • Present findings and recommendations to deployment leadership, Procurement, and Finance.
  • Reconcile travel charges, hotel folios, transportation invoices, refunds, and unused credits with Finance.
  • Resolve discrepancies, recover available credits, and maintain accurate supporting records.
  • Protect confidential traveler and payment information in approved systems.
  • Maintain accurate deployment trackers, supplier records, contingency procedures, and backup handoffs.

Decision Making and Accountability

The Travel Coordinator manages assigned priorities and evaluates competing travel solutions without step-by-step direction. Decisions must remain within approved travel policies, budgets, procurement rules, and documented financial authority. The Travel Coordinator recommends exceptions and changes to operating practices; the appropriate leader retains approval authority for unbudgeted spending, policy exceptions, and contractual commitments outside the Travel Coordinator’s delegation.

Performance Expectations

  • Deliver travel readiness within approved deployment deadlines.
  • Maintain reliable arrivals and transportation coverage.
  • Provide accurate forecasts and timely cost reporting.
  • Reduce avoidable fees, billing errors, and lost credits.
  • Recommend improvements supported by service and spending data.

Qualifications

  • High school diploma or equivalent and at least three years of corporate travel, group travel, workforce mobility, or comparable travel logistics experience; equivalent relevant education and experience may be considered.
  • Experience coordinating flights, hotels, and ground transportation for multiple travelers under short deadlines, using corporate travel tools or a travel management company.
  • Ability to evaluate alternatives, analyze travel costs, develop recommendations, and resolve complex travel issues within delegated authority.
  • Proficiency with spreadsheets, traveler rosters, tracking systems, email, and accurate financial records, including changes, cancellations, and ticket credits.
  • Strong organization, professional verbal and written communication, supplier coordination, and problem-solving skills; ability to work independently from a home office and manage competing priorities.

Preferred Qualifications

  • Experience supporting workforce deployments involving hundreds of employees.
  • Negotiating hotel room blocks and arranging charter buses or recurring shuttles; managing travel budgets and supplier reviews.
  • Supporting data center, construction, logistics, or rotating-shift operations.
  • Relevant travel training or certification and knowledge of a global distribution system are preferred when direct ticketing is part of the approved role.

Home Based Working Conditions and Schedule

This is a home-based position. The employee’s primary work location is a company-approved home office with a suitable workspace, reliable internet connectivity, and the ability to handle confidential conversations and traveler information securely. The employee must use approved equipment, systems, and access controls and comply with company remote work, information security, equipment, and expense policies.

The employee must be available during an agreed work schedule aligned with supported deployment locations and time zones. Business needs may require evening, weekend, holiday, or after-hours coverage for urgent travel disruptions and short-notice deployments. Management will establish coverage rotations, response expectations, backup arrangements, and applicable pay practices before assignment. Continuous traveler support will be provided through an approved coverage plan; uninterrupted personal availability is not expected.

Occasional travel to deployment sites, company locations, or supplier meetings may be required. Site visits may involve walking through operational areas and following applicable safety and personal protective equipment requirements.

Physical Demands and Reasonable Accommodation

Work primarily involves computer and telephone use, reviewing detailed travel and financial information, and communicating with employees and suppliers for extended periods. Essential functions may be performed with or without reasonable accommodation. DP World provides equal employment opportunity without discrimination based on any characteristic protected by applicable law. Contact Human Resources to request accommodation during the application process or employment.
