Role Description

As a Virtual Inside Sales & Operations Coordinator, you will serve as the primary administrative anchor, customer service representative, and operational backup for leadership. Your main goal is to handle daily customer intake, filter incoming inquiries, assist with virtual home walkthroughs, manage administrative logistics, and ensure leadership only handles high-priority tasks. This is not a high-volume cold-calling or aggressive sales role. You will interact with warm inbound leads, conduct phone intake using established questionnaires, assist with AI-powered virtual estimates, and ensure smooth backend operational support.

Key Responsibilities

• Inbound Lead Handling & Triage: Rapidly handle warm inbound phone calls, emails, and online inquiries. Filter out routine tasks and prioritize urgent items for management review.
• Customer Intake & Information Gathering: Perform phone outreach for smaller jobs using an established question checklist to gather essential moving details and project specifications.
• Data Entry & Management: Transfer lead details received via phone or email into the primary CRM platform (SmartMoving).
• Virtual Estimate Assistance: Host face-to-face video walkthrough sessions with customers as they walk through their homes. Act as a welcoming, professional face while integrated AI tools automatically capture room data and report to leadership.
• Operational & Administrative Support: Coordinate backend logistics, including securing municipal parking permits, scheduling equipment rentals, and updating customer records.
• Quoting & Booking (Secondary / Training-Based): Learn company pricing structures to assist with quoting and booking moves when leadership is out of office or in meetings.

Qualifications

• Communication (Strict Non-Negotiable): Exceptional spoken and written English with a minimal accent and a warm, clear, professional phone presence.
• Customer Service Focus: Strong customer service orientation with a helpful, reassuring, and articulate phone manner.
• Technical Aptitude: Willingness to learn SmartMoving CRM software (user-friendly and fully trainable). Familiarity with Google Sheets and Google Workspace tools.
• Adaptability & Judgment: Ability to learn business priorities over time to effectively manage lead flow and administrative tasks without close supervision.
• Home Office Setup: Dependable US-hours internet connection, reliable hardware, and a quiet, professional remote workspace.

• C1 English level is required. The selected candidate will be speaking strictly in English during their whole shift.

Benefits

• Salary: $1,600 – $2,000 Per Month
• Work Schedule: Monday, Tuesday, Wednesday, Friday: 1:00 PM – 7:30 PM Pacific Time | Saturday: 8:00 AM – 3:30 PM Pacific Time (Days off: Thursday, Sunday)
