[Hiring] Sales Support Executive Assistant @Coconut

Role Description

We are currently looking for top talent to fill the role of Sales Support Executive Assistant.

• Reports directly to the CMO of a fast-growing marketing agency and supports a major sales push.
• Attends prospect calls silently to capture notes and action items.
• Confirms action items with the CMO over Slack after each call and executes them.
• Drafts, builds, and sends business proposals in Quiller using existing templates.
• Coordinates with internal design and development teams to put together custom quotes.
• Makes edits and amendments to proposals and contracts.
• Manages follow-ups across multi-call deals, including email and text-based outreach to prospects.
• Maintains the HubSpot CRM, keeping deal stages, deal values, and records up to date.
• Handles the 5 to 6 emails, internal coordination, and admin that surround each deal so the CMO can focus on calls.
• Submits work for CMO review and approval before anything goes out to prospects.
• Has prior experience in a sales support or sales-adjacent role.
• Has experience communicating with prospects and clients by phone.

Qualifications

• AI native and highly comfortable using Claude or similar AI tools to manage workflows and day-to-day work.
• Background working at or with a marketing agency.
• Experience in a fast-paced sales environment, with a reputation for working quickly and efficiently.
• Natural, conversational spoken English for potential future client-facing work.

Requirements

• Excellent written and spoken English.
• Familiarity with sales and marketing processes and terminology.
• Availability to work at least an 8-hour window between 8AM and 6PM Central Time.

• Marketing agency and sales experience.
• HubSpot, including CRM management and the built-in dialer.
• Quiller for interactive proposals.
• Asana for project management.
• Slack, Gmail, Google Voice, and Zoom.
• Google Drive, Docs, and Sheets.
• Claude and other AI tools.
• Read AI for call notes and action items.
