Role Description
We are looking for a
Sales Operations Manager
to own the operational engine behind our retail business. This role is central to how our retail business grows. The Sales Operations Manager reports directly to the VP of Sales and is the operational backbone of retail at Rho. You will keep our existing retailer and distributor partnerships running smoothly, from item setup and promotions to deductions and reporting. You will also help us win new ones by preparing the data, analysis, and new item submissions behind every pitch, and by making sure every new launch gets set up and executed cleanly. You will be the operational right hand to the VP of Sales and the person the sales team relies on to make retail run.
This is a role for someone who thinks like an owner. Retail never stops: submission deadlines are approaching, promotions are going live, orders are shipping, and deductions are posting whether or not anyone is watching. Owning that means staying close to what is happening, catching problems before they cost us, and getting things done without needing to be chased. When something is handed to you, you figure it out, get it done, and close the loop.
What You'll Own
-
New item setup with retailers and distributors, from first form to on-shelf
-
Promotion execution across retailer and distributor portals
-
Distributor & retailer portal management
-
Trade spend tracking, from plan to actual
-
Deduction and discrepancy resolution
-
Order and PO visibility and reporting from the sales side
-
Retail sales reporting and data, including SPINS and other syndicated retail data
-
Cross-functional coordination between Sales, Operations, Logistics, Finance, and Marketing
-
Record keeping for contracts, agreements, and item files
-
The processes and systems that let retail scale
You are accountable for retail running cleanly, not for one account, one form, or one report.
Key Responsibilities
-
Item setup and promotion execution
-
Own new item and SKU setup end to end with retailers and distributors.
-
Submit and maintain promotions in retailer and distributor portals, and complete all promotional paperwork accurately and on time.
-
Track every deadline so launches, resets, and promotions are never late because of us.
-
Confirm that what runs at shelf matches what was agreed to, and flag issues before they become costly.
-
Retailer and distributor management
-
Work day to day in distributor and retailer portals to keep item data, pricing, and promotions current.
-
Serve as the go-to operational contact for distributor and retailer partners, resolving issues quickly and professionally.
-
Trade, deductions, and financial accuracy
-
Track planned versus actual trade spend by account and promotion, and keep trade records accurate and ready for review.
-
Partner with Finance on reconciliations and post-promotion analysis.
-
Investigate deductions and chargebacks, separate valid from invalid, and drive disputes to resolution.
-
Orders, reporting, and analytics
-
Track POs, orders, and fill rates from the sales side in partnership with our Operations and Logistics teams, who own order processing and fulfillment.
-
Spot risks like out-of-stocks or late shipments early and keep the sales team ahead of them.
-
Pull and analyze SPINS and other syndicated retail data, distributor reports, and EDI data to build clear, regular reporting for the VP of Sales and leadership.
-
Turn data into insight: what is working, what is not, and where we should focus.
-
Process, systems, and coordination
-
Act as the hub between Sales, Operations, Logistics, Finance, and Marketing on everything retail execution requires.
-
Improve how we manage order management, and promotional tracking, and build the templates, trackers, and workflows the business needs.
-
Keep contracts, agreements, item files, and account records organized, current, and easy to find.
-
Take on whatever else it takes. If it helps the business win at retail, it is in scope.
How You Will Operate
-
Proactive by default β you take ownership instead of waiting for someone else to identify the problem or the next step.
-
Self-directed β when something lands on your desk, you figure out what is needed and get it done.
-
Detail-obsessed β you know a missed deadline or a wrong UPC can cost a launch, and you get it right the first time.
-
Resourceful β when you do not know the answer, you find it.
-
Always aware β you notice the small signal before it becomes a large problem, and you stay close enough to the business to see it.
-
Accountable β you move with urgency, you finish what you start, and you do not need to be chased.
-
Comfortable in ambiguity β priorities shift, resources are finite, and the playbook is often being written as you run it. That energizes you rather than frustrating you.
Qualifications
-
3-5 years of CPG experience.
-
Direct experience doing this type of role, either in sales operations or sales support at a CPG brand, or on the other side of the desk at a key grocery or mass retailer, distributor, or broker.
-
Hands-on experience working with both retailers, distributors and brokers.
-
A proven track record of working independently and delivering results.
-
Exceptional organization and attention to detail, with the ability to manage many deadlines at once without dropping any.
-
Advanced Excel or Google Sheets skills.
-
Experience with large retail accounts in Grocery, Mass and/or Club channels and their systems is a plus.
What Does Success Look Like in This Role
-
New items and promotions go live on time and as planned, every time.
-
Distributor and retailer partners see Rho as one of the easiest brands to work with.
-
Deductions are resolved quickly, and recurring issues stop recurring.
-
Trade spend is tracked accurately, and we know what every promotion delivered.
-
The VP of Sales and leadership have clear, current visibility into retail performance without having to ask for it.
-
Problems are identified and resolved before they show up in the numbers.
-
Our retail processes and systems keep pace with our growth.
Benefits
-
Join a mission-driven company that values integrity, curiosity, and continuous improvement.
-
Opportunity to make a real impact on the health and performance of the communities we serve.
-
Work alongside people who care deeply about results and relationships.
