[Hiring] Event Project Manager @Meeting Tomorrow

Role Description

The Event Project Manager is responsible for managing the complex lifecycle of AV production and creative design projects for our clients' most important events. This person will work with clients across the Tech, Finance, Pharma, and Non-Profit spaces, serving as the face of Meeting Tomorrow throughout the event execution process. This role is highly detailed, task-oriented, and requires the executive presence to guide stakeholders throughout the whole process, ultimately ensuring the clients' vision for AV production and creative design becomes reality.

This role requires frequent to moderate onsite travel (approximately 20-30%, or 4-5 days per month).

What You'll Own

• Audiovisual Event Project Planning: Lead numerous events throughout the year, managing project scope, timelines, and budgets. Guide clients through the project lifecycle, coaching them on AV Production best practices for in-person and hybrid events.
• Communication & Decision Making: Act as the client’s main point of contact and MT representative. Lead the information flow between internal teams, venues, vendors, and the client.
• Client Relationship Building: Build genuine connections with clients, getting to know their personal interests and driving credibility and repeat business.
• Creative Deliverables Management: Act as the bridge between clients and creative teams, managing logistics with vendors and maintaining asset trackers.
• On-Site Leadership: Travel to be the face of MT, preparing onsite staff in partnership with Production Managers for flawless execution.

Qualifications

• 4-7+ Years of Event Industry Experience: Navigated the agency or white-glove event world with a customer-focused mindset.
• Organization & Speed: Fast-paced multitasker who is accountable to deadlines and finds joy in the details.
• Great Communicator: Able to communicate clearly and effectively both verbally and in writing.
• People Person: Able to build relationships and cater your approach depending on the person you’re talking to.
• Technical & Creative Curiosity: Ready to dive into AV production and creative service logistics.
• Adaptability: Confidently work and make decisions in gray, unpredictable spaces with shifting priorities.
• Values Alignment: Demonstrate kindness, commitment, and humility in everything you do.

The Impact

• Learn about MT’s services and our customer-service mentality.
• Have opportunities for training to expand your exposure and understanding of how we manage events.
• Meet with current members of the Project Management, Production, Creative, and Sales teams to understand best practices.

Within 3 months, you’ll:

• Build strong and lasting relationships with clients and internal team members.
• Begin to create your own processes for working with clients and identify opportunities for efficiency/improvement.
• Become proficient in our CRM, Netsuite and Project Planning tool, Backstage.
• Work with internal support teams to effectively manage a large-scale event or event series for premier clients.

Within 6 months you’ll:

• Have proficiency in the role and be managing accounts with autonomy.
• Complete projects to improve the efficiency and effectiveness of the team.
• Demonstrate an aptitude for problem solving and contingency planning.
