[Hiring] Business Operations Lead @Penbrothers

Role Description

We’re hiring a Business Operations Lead to bring structure, organization, and momentum to a growing start-up. This role will work closely with leadership across day-to-day operations, helping improve processes, coordinate priorities, and ensure key initiatives move forward efficiently. The position is designed to grow with the company, offering the opportunity for a sharp, ambitious, and highly capable individual to take on increasing ownership, develop strong business judgment, and eventually progress into a Chief of Staff or Head of Operations–type role, with potential responsibility for managing a small team.

What you’ll do

• Project & Timeline Management
  • Coordinate projects and deadlines across multiple, often disparate, teams (e.g., product, marketing, operations, external vendors)
  • Track deliverables, follow up on outstanding items, and flag risks to timelines before they become problems
  • Maintain shared project trackers, calendars, and status updates
  • Over time, take ownership of operating rhythms (weekly check-ins, OKR/goal tracking, reporting cadence)
• Business & Financial Operations
  • Apply financial services / fintech operations experience to bring structure and rigor to how the business runs (reporting, reconciliation support, vendor/contract tracking, basic financial hygiene)
  • Support budgeting, invoicing, and expense tracking processes
  • Help build and document scalable SOPs as the company grows
• CRM & Email Marketing
  • Provide backend support for the CRM system (data hygiene, workflow setup, reporting)
  • Build and manage drip email campaigns, including segmentation, sequencing, and performance tracking
  • Troubleshoot CRM issues and recommend process improvements
• Social Media Support
  • Edit short-form video content for social platforms
  • Schedule and publish posts across relevant social channels
  • Maintain a content calendar and coordinate with any external creators or contractors
• AI & Productivity Tools
  • Actively use AI tools to streamline workflows, automate repetitive tasks, and improve turnaround time
  • Recommend and pilot new AI-driven tools or automations as the business grows
  • Document processes so tasks can eventually be automated or delegated to future team members

Growth Path

This role is explicitly designed to expand. A strong performer can expect to move from hands-on operations execution into:

• Greater ownership of business operations and decision-making
• Direct management of additional support staff or a small team
• A trajectory toward a Chief of Staff or Head of Operations–type mandate

Qualifications

• 3–6 years of experience, ideally including time in financial services, fintech, or a similarly rigorous operations environment
• Demonstrated experience managing timelines/projects across multiple teams or stakeholders
• Hands-on experience with at least one major CRM (e.g., HubSpot, Salesforce, Zoho, ActiveCampaign) including drip campaign setup
• Comfort with basic video editing tools (e.g., CapCut, Premiere Rush, Canva) and social media scheduling platforms
• Genuine interest and practical experience using AI tools (e.g., ChatGPT, Claude) to improve day-to-day productivity
• Excellent written and verbal English communication
• High level of discretion, trustworthiness, and professionalism — you’ll have visibility into business-critical and sensitive information
• Ambitious, growth-minded, and comfortable taking on increasing responsibility over time
• Strong self-management skills; comfortable working with a founder who is new to offshoring and still building out processes

Nice to Have

• Prior experience supporting a start-up or small, fast-moving team
• Exposure to budgeting, reconciliation, or light financial reporting
• Early experience mentoring, training, or coordinating junior staff
