Role Description

Snapscale is looking for a reliable, detail-oriented Mandarin-speaking Healthcare Virtual Assistant (HVA) to support a US-based multi-specialty medical practice providing Ophthalmology, Dermatology, and Orthopedics services. This role involves providing administrative, front-office, and patient coordination support. The ideal candidate is organized, proactive, and capable of managing multiple administrative tasks while maintaining accuracy, professionalism, and confidentiality when handling patient information.

• Handle inbound patient calls, inquiries, and appointment scheduling using ModMed.
• Coordinate appointment rescheduling, cancellations, and appointment updates through phone, email, and text.
• Assist with patient intake and ensure accurate collection and entry of patient information.
• Maintain and update patient records in the Electronic Medical Records (EMR) system.
• Manage incoming and outgoing electronic faxes (e-faxes).
• Track and coordinate referrals.
• Assist with insurance verifications.
• Provide general administrative, receptionist, and front-office support to physicians across multiple clinic locations.
• Maintain organized patient records and ensure the accuracy and confidentiality of medical information.

Qualifications

• Fluent in Mandarin and English is required.
• Previous experience as a Healthcare Virtual Assistant, Medical Virtual Assistant, Medical Receptionist, Patient Coordinator, Medical Administrative Assistant, or similar healthcare role.
• Familiarity with Ophthalmology, Dermatology, or Orthopedics is an advantage.
• Experience using EMR/EHR systems; familiarity with ModMed is an advantage.
• Excellent attention to detail, organizational skills, and ability to manage multiple tasks.
• Comfortable communicating professionally with patients, physicians, hospitals, and healthcare staff.
• Knowledge of HIPAA and the importance of maintaining patient confidentiality and protecting PHI.
• Able to work independently, follow established workflows, and meet productivity expectations.
• Reliable, proactive, and committed to completing assigned tasks accurately and on time.
