Role Description
The Marketing Administration Officer reports to the Head of Marketing and supports the marketing and business development teams by keeping systems, communications, social channels, event workflows, and reporting running smoothly. This role combines strong marketing coordination/administration with hands-on execution across HubSpot, Meta and LinkedIn, email marketing, websites, and paid media reporting. This is a maternity leave contract position.

HubSpot CRM:
Create and update contacts and companies, importing and exporting lists, maintaining clean contact records (tags, duplicates, unsubscribes), and building lists and workflows as directed by the Head of Marketing, as well as scheduling and monitoring weekly email sends.

Reporting:
Produce monthly Marketing & BD Sales reports; build and update HubSpot dashboards for marketing reports; compile end-of-month performance reporting for social, website, paid advertising, and email performance.

Inbox & Admin Support:
Monitor marketing and company inboxes, triaging enquiries to the right person and supporting the marketing and BD team with all administration.

LinkedIn Support:
Manage messages, connection requests, and posting for the CEO of Evoke Projects; manage the Evoke Projects and Practice Success LinkedIn pages; repost posts to relevant groups and support Sales Navigator and Octopus outreach to potential clients when required.

Lead & Project Setup:
Set up new leads and project records across HubSpot, Smartsheet, QuickBooks, internal documentation, and updates to teams via Slack.

Content & Scheduling:
Schedule all outgoing social media posts via HubSpot for LinkedIn and Meta and tag and boost posts as directed.

Website Support:
Assist with basic website updates via WordPress and Course Creator 360 as requested.

Summit & CPD Support:
Assist the Head of Marketing with Practice Success Summit support including event administration, social media posting, partner communications, and CPD certificate creation for Summit attendees.

HubSpot Reporting & Dashboards:
Ability to build new reports and dashboards to track marketing + sales funnel performance and key metrics.

Google Analytics:
Confident in analyzing traffic and behavior, creating reports, and setting up/maintaining website goals/conversions for performance tracking.

Google Ads (AdWords):
Create, maintain, and report on campaigns (search and/or remarketing preferred).

Meta Ads:
Create, maintain, and report on campaigns.

LinkedIn Ads:
Create, maintain, and report on campaigns.

Experience with retargeting ads to increase brand awareness for visitors to our organic channels.

Strong spreadsheet capability (Excel/Google Sheets) for reporting and data hygiene.

High attention to detail with CRM data quality and tagging discipline.

Ability to manage multiple workflows, deadlines, and weekly schedules with minimal supervision.

Ability to translate process and document for team operations, procedures, and learning.

Clear written communication (email, LinkedIn messages, coordination notes).
