Role Description
Join Our Dynamic Team as a Digital Marketing Operations Manager: Help Empower Healthcare Professionals Worldwide!
Monthly Salary: up to ZAR 65,000 based on experience and overall assessment
Working hours: Monday to Friday, 11AM TO 6PM Sydney, Australia Time
We are looking for candidates with digital marketing agency experience, with a strong understanding of agency workflows, systems, and cross-team coordination. You should be technically fluent in marketing operations tools and processes, including campaign workflows, reporting/analytics platforms, and CRM or marketing automation systems.
What you'll own:
-
Daily delivery rhythm (core)
-
Run the daily catch-up cadence across SEO, Google Ads, Meta Ads, Web Dev and Copywriting: what's due today, what slipped, who's blocked, what gets reprioritised.
-
Prepare the pre-standup exception brief and an end-of-day movement check: closed vs newly overdue, per-person slip rate, zero-activity flags.
-
Chase dependencies and client-side inputs before they become misses ('waiting on client' older than two weeks is your problem, not the specialist's).
-
Board hygiene and the review queue
-
monday.com is our system of record. You keep it truthful: every open item has an owner, a reviewer, a due date and a realistic estimate rolled up from sub-tasks.
-
Clear the review backlog: enforce a named reviewer before anything enters review, separate 'For Review' from 'Done', and escalate ageing sign-offs.
-
Weekly hygiene sweep: duplicates, unassigned items, stale TBCs, checklists with no sub-tasks, items untouched 60+ days, group-vs-status mismatches.
-
QA gates and SOPs
-
Enforce the existing pre-client QA checkpoints for web builds, blog publishing, campaign launches and reporting files β no deliverable reaches a client having skipped its gate.
-
Own and improve SOPs and handoff definitions between departments; fix the intake form when it produces duplicate or vague requests, rather than cleaning up after it.
-
Build templates and light automations that remove repeat manual work.
-
Cross-team coordination
-
Be the single coordination point between Client Success (account managers and support), the delivery teams, and Web Dev/QA.
-
Sequence work correctly across time zones (SEO in Pakistan, Ads in Pakistan/Philippines, Client Success in South Africa/Philippines, clients in Australia) and make sure commitments made to clients are ones delivery can meet.
-
Keep decisions and changes documented in the relevant board item, not in chat.
-
Operational reporting
-
Report weekly on delivery timeliness, cycle time, overdue at item level, review-queue depth, QA pass rate, estimate coverage and capacity/utilisation.
-
Surface at-risk clients and recurring friction with a proposed fix, not just a number.
-
Flag campaign performance anomalies to the responsible specialist and track that a response actually happened; diagnosis and strategy stay with the discipline leads.
-
Team support
-
Day-to-day guidance and accountability with specialists and team leads; help new hires ramp on our boards, SOPs and QA standards.
-
Feed factual delivery evidence into performance check-ins run by leadership.
Qualifications
-
5+ years in marketing operations, delivery or project management in an agency; multi-discipline teams.
-
Deep, hands-on monday.com (boards, subitems, mirrors, dashboards, automations). Asana/Trello/ClickUp exposure is a bonus, not a substitute.
-
Strong working knowledge of SEO, Google Ads, Meta Ads, WordPress builds and copywriting to sequence, QA and question the work.
-
Comfortable running a daily operating rhythm across time zones and holding senior specialists to commitments without authority over their craft.
-
Analytical: can read a delivery board and a performance dashboard and say what to do differently tomorrow.
-
Process designer, not just a task-shuffler: you fix the system that produced the mess.
-
Healthcare or regulated-industry marketing experience is an advantage.
Hiring Process
-
Recorded self interview
-
Role Assessment
-
Initial Interview with the Dept. Lead
-
Final Interview with the Director
-
Previous employment verification
