Role Description

Essential Responsibilities and Duties

Case & Administrative Support:

Assist attorneys and paralegals with day-to-day case management tasks across pre-litigation and litigation phases.

Maintain and organize digital and physical case files, ensuring accuracy and completeness.

Input, update, and track case information in case management systems.

Document Preparation & Handling:
-
Draft and format legal documents, including:
-
Demand letters
-
Client correspondence
-
Medical record requests
-
Basic pleadings and forms
-
Prepare document packets for filing, service, and client review.
-
Assist with assembling discovery and trial materials.
-
Medical Records & Case Documentation:
-
Request, track, and organize medical records, bills, and supporting documentation.

Assist in summarizing treatment timelines and expenses for attorney/paralegal review.
-
Ensure all required documentation is collected for case progression and settlement evaluation.

Client Communication:
-
Serve as a primary point of contact for clients (English/Spanish).
-
Provide updates, request documents, and guide clients on next steps.
-
Support client onboarding and intake processes.
-
Coordination & Follow-Up:
-
Communicate with insurance companies, healthcare providers, and third parties.
-
Follow up on outstanding records, claims, and documentation.
-
Schedule appointments, depositions, and meetings.

Calendar & Deadline Management:
-
Track key deadlines (appointments, document requests, follow-ups).
-
Assist in maintaining attorney and case calendars.
-
General Support:
-
Provide administrative support to the PI legal team as needed.
-
Perform additional duties to support case progression and team efficiency.
Qualifications
-
1β3 years of experience in a legal assistant or administrative role (Personal Injury preferred).

Exposure to personal injury workflows, including medical records and insurance claims, is strongly preferred.

Experience handling client communication in a professional setting.

Familiarity with legal documentation and office procedures.
-
Experience working in fast-paced or high-volume environments is a plus.
Requirements

Associateβs degree, legal assistant certificate, or equivalent experience.

Bilingual: English and Spanish (required).

Strong written and verbal communication skills.

Proficiency in:

Microsoft Office (Word, Excel, Outlook).

PDF editing tools.
-
Case management systems (e.g., Litify, Clio, Filevine β preferred).

Excellent organization and attention to detail.

Strong time management and ability to prioritize tasks.
-
Professional demeanor and client-service mindset.
-
Ability to follow processes while adapting to changing priorities.

High level of integrity and commitment to confidentiality.
Technical Requirements

Computer: Intel i5 (8th Gen+) or AMD Ryzen 5 (3000+), or Mac M1+. Min. 8 GB RAM, 256 GB SSD.

OS: Windows 11 or macOS.

Monitors: Two screens required.

Headset: USB wired or wireless.

Internet: Wired connection, at least 20 Mbps.
Physical Demands

Regular use of a computer and office equipment.

Occasional lifting of files (up to 10 pounds).
