[Hiring] Senior HR/People Ops Specialist – Payroll, Benefits & Compliance @Mimica

Role Description

Mimica's mission is to empower enterprises, teams, and individuals to reclaim their most precious resource — time and work more efficiently, with greater purpose and impact. Your role will be to own the execution and integrity of the payroll system as we transition ~200 employees in Costa Rica from EOR to a fully owned local entity.

• Own pre-hire compliance requirements, including right to work checks, documentation, and contract readiness.
• Handle new joiner, leaver, and employment change transactions – generating contracts, amendments, employment verifications, salary certificates, and formal notices.
• Prepare, validate, and submit payroll inputs, including salary, incentives, deductions, and adjustments.
• Audit outputs from payroll providers, reconciling discrepancies and catching errors before employees do.
• Ensure correct handling of social security contributions, income tax withholdings, and settlements, including cesantías and liquidaciones.
• Own enrolment, changes, and issue resolution for private healthcare and statutory benefits.
• Manage leave processes, including statutory and company leave, ensuring alignment across policy, systems, and payroll outputs.
• Be the go-to person for employee queries on employment terms, payslips, taxes, and benefits, resolving issues with clarity and confidence.
• Stay ahead of regulatory changes and implement them proactively, ensuring our practices are compliant with CCSS, MTSS, DGT, and INS.
• Support audits, filings, and statutory reporting for Costa Rica.
• Maintain clean, structured employee data across HRIS and payroll systems.

Qualifications

• Background in HR services and payroll coordination.
• Working knowledge of labor law and employment practices in Costa Rica.
• Hands-on experience with benefits and leave management.
• Execution depth; comfortable with detailed, repetitive work such as data input, audits, and reconciliation.
• Proven ability to operate without full structure, interpreting requirements and building practical processes.

Requirements

• Familiarity with complex, multi-entity environments across North, South America, and EMEA (Bonus).
• Experience working through audits and actively supporting statutory reporting (Bonus).
