[Hiring] Global Recruiting Coordinator @MariaDB plc

Role Description

The Global Recruiting Coordinator plays a critical role in supporting the company’s hiring process by coordinating all aspects of recruitment and ensuring a seamless candidate and hiring manager experience.

• Coordinate all stages of the recruitment process, including interview scheduling, travel arrangements, and follow-up communication
• Schedule and coordinate phone screens and interviews, ensuring a positive experience for candidates and hiring managers
• Maintain and update the Greenhouse Applicant Tracking System (ATS) for accurate candidate information and workflow status
• Draft and post job descriptions on internal and external platforms
• Support recruiters in sourcing and screening candidates for various positions
• Prepare offer letters and manage onboarding processes
• Initiate and track candidate background checks
• Act as a key point of contact for candidates, providing timely updates
• Communicate interview details clearly, including technical assessment setup
• Gather feedback from interviewers and assist in debrief scheduling
• Work with recruiters to understand interview panel availability and hiring timelines
• Prepare interview materials before assessments
• Generate and analyze recruitment metrics
• Support compliance by maintaining accurate candidate data in the ATS
• Assist in process improvement initiatives related to recruiting efficiency
• Work on special projects for the TA and HR teams as needed

Qualifications

• 2–3 years of experience in recruiting coordination or HR administration, preferably in a technology or database-focused company
• Experience using ATS Greenhouse or HRIS tools Bamboo HR preferred
• Familiarity with technical recruitment processes
• Excellent scheduling skills, particularly with multiple busy calendars
• Unmatched documentation and organizational skills
• Problem-solver with a passion for tackling difficult challenges
• Ability to thrive in a fast-paced environment

• Exceptional communication skills, both oral and written
• Proven ability to maintain and handle sensitive information
• High attention to detail and data accuracy
• Technical background with proficiency in scheduling tools and collaboration platforms
• Interest or background in database technologies
• Experience supporting technical or engineering hiring in SaaS or enterprise software environment
• Experience introducing or utilizing AI tools in the recruitment process
