Role Description

The Promo Claim Admin is responsible for ensuring timely, accurate, and compliant processing of customer promotion claims. This role supports the end-to-end claim management process, including:

• Claim verification
• Payment processing
• Customer deduction settlement
• Proper documentation management to maintain strong financial control

Responsibilities

• Promotion Claim Processing:
  • Process customer promotion claims accurately and timely in accordance with company policies and approved promotional agreements.
  • Ensure claims are recorded and processed within agreed service level timelines.
  • Coordinate with relevant stakeholders to resolve claim-related issues or discrepancies.
• Customer Deduction Settlement & Clearing:
  • Review and reconcile customer deductions against supporting claim documents.
  • Perform settlement and clearing activities for customer deductions in the system.
  • Follow up on outstanding deductions and coordinate with Sales, Finance, and customers to resolve open items.
  • Maintain accurate records of cleared and pending deductions.
• Claim Verification & Validation:
  • Verify the validity, accuracy, and completeness of customer claim submissions.
  • Ensure supporting documents comply with approved promotion agreements, trade terms, and company policies.
  • Identify duplicate, invalid, or unsupported claims and escalate exceptions when necessary.
  • Perform detailed checks on claim calculations and supporting evidence before processing payment.
• Documentation & Filing Management:
  • Maintain organized and complete filing of all claim-related documents, both physical and electronic.
  • Ensure supporting documents are properly archived for audit and compliance purposes.
  • Support internal and external audit requests by providing required documentation.
  • Maintain document retention in accordance with company policies.
• Reporting & Control:
  • Prepare periodic reports on claim processing status, outstanding deductions, and claim aging.
  • Ensure compliance with internal control requirements and audit standards.
  • Identify opportunities to improve claim processing efficiency and accuracy.

Qualifications

• Diploma or Bachelor's Degree in Accounting, Finance, Business Administration, or related disciplines.
• Fresh graduates are welcome to apply. Prior experience in Accounts Receivable, Claims Administration, Finance Operations, or Trade Promotion Management is an advantage.
• Basic understanding of accounting, customer deductions, and claim settlement processes.
• Proficiency in Microsoft Excel and ERP systems (SAP preferred).
• Strong attention to detail and accuracy.
• Ability to manage multiple tasks and meet deadlines.
