[Hiring] Finance & Accounting Specialist @Growrk

Role Description

The Finance & Accounting Specialist owns GroWrk's day-to-day payment processing, reconciliation, and bookkeeping. This is a high-frequency, deadline-driven operational role sitting at the intersection of Finance, Accounting, and Procurement. The person is responsible for making sure incoming and outgoing payments are captured accurately and on time (Stripe, wires, orders), that the books in Bill.com and QuickBooks Online (QBO) stay clean and current, and that quarterly reconciliation and close activities are supported. It also carries GroWrk's Chart of Accounts and SKU structure as new revenue lines are added. Additionally, it is in charge of classifying and maintaining databases for company expenses.

Key Responsibilities

• Daily payment processing & reconciliation
  • Monitor and action the Stripe payments listener to keep client payments updated daily (1 business-day turnaround).
  • Review and update order payments across the Payments Tracker and the GroWrk platform.
  • Review ALC service-order payments.
  • Maintain and update the Wire-Out Report (SVB), reconciling outgoing wires.
  • Investigate and resolve unresolved wires, coordinating with both the Accounting and Procurement teams.
• Payments Tracker & platform updates
  • Keep the Payments Tracker current — registering new payments as they land (1 business-day turnaround).
  • Update the GroWrk platform to reflect payment status on ALC and related orders.
• Bookkeeping (Bill.com / QBO)
  • Post bills in Bill.com / QBO for paid invoices.
  • Review and apply QBO updates coming from the Accounting team.
  • Keep ledgers accurate and reconciled to source payment data.
• Quarterly reconciliation & close support
  • Support quarterly reconciliation (e.g., Q3/Q4 reviews) against financial folders and QBO/Bill.com.
  • Review finance documentation shared for each quarter (currently sourced from Rommel) and confirm completeness.
• Chart of Accounts & SKU maintenance
  • Maintain and update SKUs and the Chart of Accounts (CoA) — labeling and descriptions.
  • Create new SKUs to support new revenue scopes (e.g., ALC / Renting / Flex / Leasing).
• Billing services review & cross-team support
  • Review pending services for customers (subscription management / AR support), on a bi-weekly cadence.
  • Help review the shared Accounts email, actioning finance-related requests.
• Process documentation
  • Document standard operating procedures for the workflows above in the team's process library, and keep them current.
• Continuous improvement
  • Identify and drive automation opportunities across the largely manual payment/reconciliation workflows, in partnership with the team, to reduce manual load over time.

Qualifications

• 2–4+ years in finance operations on the USA accounts payable, payment processing, or bookkeeping.
• Accounting or Financial Bachelor's Degree.
• Demonstrated hands-on experience with QuickBooks and Bill.com (or directly comparable GL/AP tools).
• Comfort with high-volume, daily-deadline reconciliation and strong attention to detail.
• Strong spreadsheet skills (Google Sheets/Excel) for building and maintaining trackers.
• Experience reconciling bank/wire activity to internal records.
• Reliability under recurring same-day / next-business-day SLAs.
• Fluent English Speaker.

Preferred / Nice-to-have

• Experience maintaining a Chart of Accounts and SKU structures, ideally in a subscription or leasing revenue model.
• Familiarity with Stripe and payment-listener workflows.
• Experience coordinating across Accounting and Procurement functions.
• A documentation-first working style; experience writing SOPs.
• Interest in process automation (Google Scripts or similar).
