Role Description
The Regulatory Disclosures Analyst is responsible for managing all processes associated with the timely distribution of participant disclosures for defined contribution Single and Multiple Employer Plans as well as Pooled Employer Plans. The Regulatory Disclosures Analyst acts as a subject matter expert and is responsible to ensure service, quality, and regulatory standards have been met. In addition to, identifying and presenting recommendations for enhancements to the overall processes. The Regulatory Disclosures Analyst works independently to analyze, review, and validate system data that directly impacts the accuracy and compliance of participant disclosures. They must investigate system errors and correct discrepancies and/or inaccuracies in data, disclosures, and/or other participant notifications. Collaborate with internal departments to prepare, prioritize, and resolve issues to ensure disclosures are distributed timely and accurately.
Qualifications

2+ years of relevant experience with IRS/DOL regulations

Intermediate-Advanced Microsoft Excel Skills (i.e., sort/filter data, VLOOKUP function)

1+ year of 401(k) industry experience highly preferred
Requirements

Understand and can clearly and accurately respond to questions regarding each of the individual notices and disclosures prepared by the Document Fulfillment team.

Ability to attend internal meetings to act as subject matter expert (SME) to address questions regarding overall notice and disclosure process from start to completion.

Thorough understanding of the rules and regulations surrounding the requirement for each communication.

Manage the production and distribution of IRS/DOL required disclosures within specified deadlines.

Participate in medium to large sized projects centered around department initiatives intended to increase efficiencies, maintain adherence to compliance requirements, or decrease cost.

Document and implement all changes in processes and procedures.

Contribute to the development and enhancement of disclosure related materials, including internal training procedures and presentations.

Anticipate potential roadblocks and proactively identify solutions to maintain compliance requirements pursuant to IRS/DOL regulations.

Troubleshoot issues and assist with identifying solutions to ensure our process remains in compliance with IRS/DOL regulations.

Consistently review processes and present recommendations for improvements by leveraging technology solutions.

Utilize required software to create participant notifications and manage delivery to participants via mail or email.

Audit production to identify impact of system errors on production and delivery when plan participants are affected by system errors.

Ongoing maintenance of required participant disclosures, including setting up new clients in systems, performing quality assurance and quality control (QA/QC) reviews.

Demonstrate a solid understanding of disclosure requirements by proactively performing data validation, data review and authentication.

Conduct quality assurance and quality control checks of disclosures pursuant to plan and regulatory updates.

Consistently adhere to service standards communicated to our internal business partners and clients.

Support plan document compliance activities, including restatements, amendments, and plan terminations.
