Role Description

The Signature Field Follow-up Assistant identifies cases from an assigned queue where an online form has not been completed due to missing signatures or confirmation actions. This role involves:

• Checking the system’s status to ensure the correct record is identified.
• Contacting the person responsible for completing the outstanding action using employer guidance.
• Sending precise reminders that clearly state which form is affected and what action remains.
• Ensuring reminders do not threaten unverified consequences or invent deadlines.
• Checking for multiple signers and contacting only the intended recipient.
• Rechecking records if a person reports that the online signing link fails.
• Pointing to the current version of the form when sending reminders.
• Keeping responses tied to the same form record for clarity.
• Directing questions about declarations to the appropriate team.

Routine responsibilities include:

• Reviewing assigned forms marked as awaiting a signature or confirmation.
• Checking the form reference and intended signer before contacting anyone.
• Using the approved online instruction or link for the outstanding step.
• Recording that a reminder was sent through the designated channel.
• Rechecking the status after a response or completion notification.
• Noting a failed link, wrong recipient, or disputed status for support.
• Keeping the form pending until the required action is actually recorded.

Qualifications

• Related office administrative or customer service experience is welcome but not required.
• Ability to use online forms, compare names and references, and write courteous reminders.
• Willingness to pause when the record and the person’s message disagree.
• No legal expertise or authority to accept a declaration is required.

• Ability to avoid confusing similar forms.
• Willingness to learn the company workflow.
