Role Description

A customer may have a return approved but receive a label with the wrong parcel reference or an address that no longer matches the authorised return. This role records the problem, checks the approved details and helps the returns team issue the correct document through its process. You would not create an unofficial shipping label, change the return destination on your own or decide whether an item qualifies for a refund.

• Find the source of the mismatch.
• Read the customer’s message and the current return record together.
• Compare the authorised return number, item and customer details.
• Stop distribution and flag any document that seems to contain another person’s information under the employer’s privacy procedure.
• Verify that a corrected label links to the right return and opens properly before sending it through the approved channel.
• Keep a record of which version was sent.
• Route tracking or carrier questions rather than telling customers to use a second label for the same parcel.
• Keep the case open until the assigned handoff is complete.
• Provide clear customer service replies explaining the next steps without unsupported claims about delivery times or refunds.
• Support the administrative document, not decide how the carrier operates.

Qualifications

• Comfortable comparing references and recognising when two similar parcels belong to different returns.
• Previous shipping knowledge is useful but unnecessary.
• Office administration experience helps the customer service team see which document is current.

Requirements

• Ability to match a label issue to the existing return authorisation.
• Check whether a replacement label was already requested.
• Record a mismatch without altering carrier data yourself.
• Ask the authorised team to issue or approve a correction.
• Note a customer who has already shipped the parcel.
