[Hiring] Onboarding Specialist @Republic Services

Role Description

The Onboarding Specialist is responsible for managing four key mailboxes: Onboarding, Project Start, Purchase Orders, and Invoice Issues. The incumbent collaborates with both internal and external customers throughout the entire onboarding process, ensuring smooth transitions and providing ongoing support.

• Delivers outstanding service to both internal and external clients via phone, email, or in person.
• Investigates billing discrepancies, processes adjustments, and manages invoicing and collections.
• Receives customer onboarding forms and builds accounts in Salesforce, D365, EQAI & AESOP.
• Communicates with Credit, Customer Service, and Sales regarding new account builds.
• Sends contracts to GMs for execution and uploads executed contracts to D365 & Salesforce.
• Welcomes customers to Republic Services and introduces them to customer service, sales, and project managers.
• Receives work orders from the field and builds D365 projects.
• Receives purchase orders from customers, confirms pricing and terms, and enters/upload into EQAI for billing.
• Identifies and locates correct contact information to resend returned invoices to customers.
• Receives requests for audit support to pull contract and purchase order copies as needed.
• Participates in UAT testing for D365/EQAI/Salesforce updates.
• Maintains customer accounts by updating Sales Tax Exemptions, profile fees, EIR/EEC Fees, and other relevant information.
• Performs other job-related duties as assigned.

Qualifications

• Knowledge of basic accounting processes.
• Ability to work within a team environment and handle multiple assignments simultaneously.
• Proficient with Microsoft Office, DocuSign, and PDF writer.
• Detail-oriented for information accuracy.
• Ability to read, analyze, and interpret company documents (i.e., credit applications, service agreements).
• Strong problem-solving skills.
• Commitment to customer service and ability to actively listen to customers.
• High School Diploma - preferred.

Requirements

• 2 - 4 years of data entry experience; including the ability to type a minimum of 35 words per minute.
• Experience in billing, customer onboarding, or administrative support is preferred.
• Proficient with Microsoft Teams and Outlook, including managing shared mailboxes.
• Strong communication and follow-up skills.
