The Customer Service Complaint Intake Representative acknowledges customer complaints, records concerns, and directs them to the appropriate person for investigation. This is a remote position with office administration responsibilities.

• Acknowledge customer messages without minimizing their concerns.
• Read the entire message before choosing a reply.
• Preserve important details for the receiving team.
• Connect follow-up messages with existing cases.
• Handle customer concerns with respect while maintaining confidentiality.

Qualifications

• Experience in handling customer concerns is welcome.
• Beginners will receive training on complaint categories, privacy, and escalation.
• Ability to write calmly and read closely.
• Good judgment is more important than specific software experience.

Requirements

• Read assigned complaint emails and online forms.
• Locate the correct customer record or request missing details.
• Accurately capture the issue, date, and requested follow-up.
• Send approved receipt acknowledgements.
• Flag urgent or sensitive concerns as per employer's process.
• Route cases to designated reviewers with context intact.
• Maintain a clear next owner for recorded messages.
