Role Description

The Credit Memo Distribution Assistant manages the administrative delivery of approved credit memos through online channels. This remote role does not calculate credits, authorize refunds, or decide how they should be applied.

• Read billing instructions and confirm document number, account, recipient, and version before sending.
• Refer questions about cash back to the billing owner if the document represents an account credit.
• Identify the current approved copy when a revised credit memo exists.
• Follow secure portal or designated delivery methods, even if ordinary email seems faster.
• Note the date, channel, and document supplied after delivery.
• Keep the task open and flag problems if messages bounce or portal access is rejected.
• Provide courteous and precise responses to customer requests for documents.
• Maintain a dependable history for other team members to follow.

Qualifications

• No accounting designation required.
• Experience with customer service, office administration, document delivery, or billing support is useful but optional.
• Attention to document numbers and recipients is essential.

Requirements

• Full-time remote work with a private home office or equivalent setting.
• Equipment and hours will be confirmed by the employer.
• Use the designated billing contact or employer's verification process for delivery.
• Record secure delivery and any bounce to ensure documents reached the recipient.
