Role Description

Orders, deliveries, last-minute changes: you’re the person who brings the details together. Join our international B2B team and turn complex customer requests into practical solutions.

Your Responsibilities

• Be the main point of contact for our international B2B customers.
• Keep orders moving, build strong customer relationships, and work closely with internal teams to resolve issues and keep clients informed.

Customer Claims & Issue Resolution

• Handle claims involving product quality, returns, delivery errors, or lost goods.
• Propose discounts for delayed deliveries or incorrect items to help resolve issues without a return or full credit, where appropriate and in line with company guidelines.

Order Management

• Check and monitor prices, delivery dates, addresses, labels, calculations, and quantities after orders are placed and during order clearance.
• Process changes to order confirmations, including new orders and replacements.
• Track orders in production and keep customers updated on their progress.
• Check product allocation and delivery timelines, adjusting orders when needed.
• Coordinate deliveries for customers who pay in advance.

Logistics & Delivery

• Share tracking details and proof of delivery, and follow up on delivery issues.
• Help resolve refused deliveries and other logistics concerns.
• Plan and coordinate pre-booked deliveries with Key Accounts.

Payments & Invoicing

• Follow up on unpaid or partially paid invoices and review proposed payment reminders.
• Issue pro forma invoices for 20% deposits and 80% balance payments.
• Work with customers and internal teams to resolve payment or invoicing issues.

Reporting & Coordination

• Maintain reports, status lists, and data requested by sales agents or area management.
• Record and update special agreements with Key Accounts.
• Act as a key link between the Back Office and other departments.

Qualifications

• You have experience in B2B customer service, sales support, order management, or a similar role, ideally working with international clients.
• You’re comfortable managing several orders and customer requests at once, while keeping track of the details.
• You communicate clearly and professionally, including when handling claims or difficult conversations.
• You enjoy working across teams and know when to follow up to keep things moving.
• You’re confident using Excel and order management or ERP systems.
• You take ownership of issues and look for practical solutions.
• You have professional working proficiency in English and one of the following languages: German, Hungarian, Italian, French, or Russian.
