Role Description

We are not looking for someone to maintain an operations function. We are looking for someone to build one that mostly runs itself — and then hold the bird's-eye view over it.

What you'll actually do:

• First 90 days — expect to grind:
  • Do a lot of things manually while figuring out what should be automated.
  • Tasks include proposal assembly, report packaging, ticket triage, and client follow-up chasing.
  • This is not the job forever, but it is the job at the start. You have to feel the pain before you can design it away.
• After that — build and conduct:
  • Automate the boring layer, including proposal drafting and formatting, delivery reporting, ticket triage and routing, QA passes on tone and completeness, internal reminders, and status rollups.
  • Build these with AI tooling and MCP connections across our CRM, project management, comms, and storage systems.
• Own the scope-drift problem:
  • Build tripwires that catch scope-drift issues when clients request "one small thing."
  • Be proactive in addressing these issues before margins are affected.
• Hold the bird's-eye view:
  • Monitor which clients have gone quiet and which projects have expanded unexpectedly.
  • Identify where work is falling between team members.
• Push ops outward, not inward:
  • Ensure every team member can run their own operations by building the necessary rails and automations.
  • Act as a force multiplier, not a queue.

Qualifications

• Experience running operations in a small and messy environment.
• Daily use of AI as a working tool, with real applications like automation, agents, or workflows.
• Strong opinions about systems and discomfort with repetitive manual tasks.
• Ability to communicate the complexity of requests to founders without being prompted.
• Comfortable being the only person in the room with complete situational awareness.

Requirements

• Judgment under ambiguity: Ability to identify core issues in messy situations.
• AI and automation fluency: Practical, hands-on experience with MCPs, agents, workflow tooling, and API-level thinking.
• Follow-through: Noticing problems is only part of the job; chasing them down is essential.
• Written communication in English: Clear, direct, and professional communication skills.

   • What questions you'd ask before anyone touches anything.
   • Your honest guess at whether this is one ticket or many, and why.
   • One automation or tripwire you'd build so this situation stops catching us by surprise.
2. Proof of build:

   Link to or describe one thing you've actually automated or built with AI. Screenshots, a Loom, a repo, a workflow diagram — anything real. Tell us what it replaced and what it saved.

3. Your CV:

   Include a line on your salary expectation and notice period.
