Role Description

We are looking for a highly organised, proactive Virtual Assistant with marketing experience to assist with day-to-day operations, customer service, and marketing activities.

The ideal candidate is detail-oriented, excellent at managing multiple moving parts, and capable of handling customer requests and order changes from start to finish without leaving loose ends. They should also have creative marketing skills, including designing emails and graphics, managing Meta platforms, and assisting with basic SEO research and monitoring.

Key Responsibilities

• Order Management & Administration:
  • Manage customer orders, including changes, cancellations, and replacements.
  • Ensure all related orders, invoices, and payments are correctly updated.
  • Coordinate with the warehouse to ensure accurate fulfilment instructions.
  • Follow up on outstanding tasks and ensure all issues are resolved promptly.
  • Maintain accurate records and ensure nothing falls through the cracks.
• Customer Service:
  • Communicate professionally with customers and respond to enquiries and issues.
  • Handle complaints and resolve problems while maintaining customer satisfaction and upholding company policies.
  • Coordinate with relevant parties to ensure customer requests are handled efficiently.
  • Demonstrate excellent written and verbal English communication skills.
• Marketing Support:
  • Design marketing emails and create graphics for campaigns and promotions.
  • Assist with updating and managing Meta platforms.
  • Research SEO fundamentals alongside management and assist with implementing basic SEO strategies.
  • Monitor SEO performance and report on results.
  • Assist with additional marketing and administrative tasks as required.

Qualifications

• Previous experience as a Virtual Assistant, preferably with marketing experience.
• Strong organisational skills and the ability to manage multiple tasks simultaneously.
• Excellent attention to detail and follow-through.
• Excellent written and verbal English communication skills.
• Strong customer service and problem-solving abilities.
• Experience with email design, graphic design, and Meta platforms.
• Basic understanding of SEO or a willingness to learn.
• Ability to work independently, take initiative, and manage priorities effectively.
• Availability to work Monday–Friday during EST business hours.
