Role Description

Skin Clique is a medically founded, nationwide aesthetics practice redefining how skin health is delivered. We are looking for a Virtual Assistant (VA) to serve as an operational extension of our high-performing providers.

Qualifications

• A self-starter mindset with confidence to take ownership and problem-solve.
• A genuine servant attitude in every interaction.
• High standard for work with discipline to double-check before sending out.
• Strong follow-through and communication habits.
• Prior administrative or virtual assistant experience, ideally in a fast-paced or client-facing setting.
• Exceptional attention to detail and organizational skills.
• Excellent written and verbal communication skills.
• Comfort managing multiple providers and priorities in a virtual environment.
• A medical, healthcare, aesthetics, or wellness background is a nice-to-have, but not required.
• Experience with EMRs (Zenoti), scheduling tools, CRMs, Trello, or social media management platforms is a plus.

Requirements

• Must be located within the United States.
• Eastern Time Zone is strongly preferred; Central Time Zone will be considered.
• Availability Monday through Friday, 9:00 AM to 5:00 PM ET.
• A reliable, quiet home workspace and a strong, dependable Wi-Fi connection are essential.

Benefits

What You'll Do

• Prechart patient appointments thoroughly and accurately.
• Acknowledge provider requests quickly and complete tasks on time.
• Double-check every piece of work before contacting a patient or sending a report.
• Manage provider inboxes and calendars, including patient scheduling.
• Support patient communication workflows.
• Maintain accurate data entry in our EMR (Zenoti) and other systems.
• Assist with planning and logistics for events.
• Create and manage patient lists and engagement logs.
• Track engagement and campaign performance.
• Identify local collaboration or event opportunities.
• Maintain a practice growth tracker.
• Support order tracking and inventory management.
• Prepare monthly performance reports.
• Collaborate with the core team on scheduling and billing questions.
• Ensure compliance and confidentiality of communications and patient information.
