Role Description

The ISTH Manager, Exhibition & Sponsorship Operations is a key member of the ISTH Meetings Team, responsible for the operational management and flawless execution of all exhibition logistics and sponsorship fulfillment for ISTH's annual congresses, educational and highlight courses, and other programs held globally.

The role requires strong exhibition and sponsorship technical expertise, including:

• A working understanding of pharmaceutical, biotechnology, and medical device industry codes
• Congress vetting requirements
• Standards governing the independence of accredited education

It further requires exceptional attention to detail and relationship-building skills in a global setting.

Key Responsibilities include:

• Developing and maintaining strong relationships with ISTH’s industry partners
• Participating in the identification of services and solutions and managing vendors/partners
• Maintaining accurate exhibitor and sponsor records in the Society's CRM
• Providing best-in-class customer service to stakeholders
• Delivering structured post-congress reporting on exhibitor and sponsor participation
• Escalating partner requests that deviate from contracted terms
• Supporting the development of exhibition and sponsorship expense budgets
• Managing the show floor plan to maximize interactions and satisfaction
• Producing operational content for exhibition and sponsorship materials
• Establishing effective operational communications with exhibitors and sponsors
• Implementing all exhibit and sponsor contracts according to guidelines
• Collaborating with the Director of Meetings on technical manuals
• Managing online exhibition and sponsorship sales tools
• Enforcing exhibition and sponsorship rules and regulations
• Managing industry site visits and feedback mechanisms
• Ensuring separation of promotional activity from scientific programs
• Managing operational delivery of industry sessions
• Advancing sustainability commitments in exhibition operations
• Assisting in other Society projects as assigned

Requirements

• Bachelor's degree or equivalent combination of education and experience
• Minimum of 5 years professional experience in international conference and trade show management
• Demonstrated knowledge of pharmaceutical and medical device industry codes
• Certified Exhibition Management (CEM) and/or Certified Meeting Professional (CMP) designations preferred
• Working knowledge of Microsoft Office and conference management software
• Experience with CRM platforms (e.g., Salesforce) and online management tools

• Exhibitor and sponsor satisfaction scores and post-congress feedback
• Exhibitor and sponsor retention and rebooking rate
• On-time, on-budget delivery of exhibition operations
• 100% fulfillment of contracted sponsor benefits
• Zero compliance findings related to industry codes
• Accuracy and timeliness of reconciliation with Finance

Work Environment

• This position is mainly sedentary
• Ability to lift and carry up to 30 lbs. of materials
• Weekend and after-hour work may be required
• Travel (primarily internationally) required is approximately 20-25% of work schedule
