Role Description

The Executive Assistant provides administrative support to executives and senior leaders to ensure efficient operations and effective communication. This role focuses on organizing schedules, coordinating meetings, and handling routine administrative tasks with accuracy and confidentiality. The position requires strong organizational skills and the ability to work under close supervision while maintaining attention to detail.

• Schedules and coordinates meetings, appointments, and travel arrangements for assigned executives.
• Prepares and edits correspondence, reports, and presentations in alignment with organizational standards.
• Maintains calendars and ensures timely communication of changes or updates to stakeholders.
• Organizes and manages files, records, and confidential information in compliance with company policies.
• Assists in preparing meeting agendas and takes notes to document key decisions and action items.
• Coordinates logistics for internal and external events, including venue arrangements and materials preparation.
• Responds to routine inquiries and escalates complex requests to appropriate resources.

Qualifications

• Strong ability to execute work with a diversity, equity, and inclusion lens.
• Significant executive support experience, including supporting C-level executives.
• Expert proficiency with Microsoft Office; adept in using end-user technology solutions overall.
• Effective problem-solving skills.
• Strong verbal and written communication skills.
• Exceptional organizational skills and impeccable attention to details.
• High degree of professionalism in dealing with diverse groups of people, including Board members, senior executives, staff, community leaders, clients, investors, etc.
• Ability to complete a high volume of tasks and projects with little or no guidance.
• Able to maintain a high level of integrity and discretion in handling confidential information.
• Excellent judgment is essential.
• Ability to switch gears at a moment’s notice.
• Ability to travel if requested by the executive leader you support.
• Thrive in an intense, do-it-yourself, start-up minded environment.
• Ability to work well within a cross-functional team environment.
• 1-2 years of Healthcare experience, preferred.
• Must be inquisitive and demonstrate openness to innovation including AI to explore better processes and ways to alleviate friction and improve patient and client experiences.

Requirements

• Bachelors Degree or Equivalent Experience.
• HFMA Certified Revenue Cycle Representative (CRCR) within 9 months of hire.
